Job Summary:
The Office Administrator will play a vital role in ensuring the smooth daily operations of our preschool. You will manage and organize administrative tasks, support compliance and record-keeping, assist with financial tasks, and be the welcoming first point of contact for families and staff. Your role is essential in maintaining the efficiency and professionalism of our school.
Key Responsibilities:
- Administrative Duties: Answer and direct phone calls, manage office emails and correspondence, and provide clerical support such as filing, typing, and data entry.
- Record Management: Maintain accurate and up-to-date personnel and student files in compliance with California state licensing and DOE requirements.
- State Program Coordination: Prepare, review, and submit paperwork for state programs, including the Child and Adult Care Food Program (CACFP) and the California Department of Education (CDE) Preschool Program.
- Billing & Data Management: Manage billing and child account information in the Procare system, ensuring accuracy in billing and generating necessary reports.
- Scheduling & Reporting: Coordinate attendance, sign-in, and meal count sheets, and prepare and post weekly menus according to CACFP guidelines.
- Office Maintenance: Prepare bi-weekly shopping lists for food and cleaning items to keep the office space clean and organized and ensure adequate supplies.
- Enrollment & Support: Assist with enrollment inquiries, conduct tours, prepare registration packages, and support staff as needed. Maintain facility rosters and emergency binders.
- Substitute Teacher Assistance: Step into the classroom as a substitute teacher when needed.
- Financial Assistance: Assist with invoicing, accounts payable/receivable, and other financial tasks as needed.
Qualifications:
- High school diploma or equivalent; college degree preferred.
- Proven experience in an administrative role, preferably in an educational setting.
- Proficiency with Microsoft Office and data management systems (Procare experience is a plus).
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Friendly and professional demeanor with a commitment to providing exceptional customer service.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Work Environment:
This role is based at our preschool office in Hawthorne, CA, with occasional support required in the classroom. We offer a positive and supportive work environment where you will collaborate with passionate colleagues and contribute directly to the success of our students and families.

Monday to Friday, 8-hour shift
