The Collections Specialist will be responsible for overseeing the firm’s collection efforts, working closely with clients and internal teams to resolve outstanding balances while maintaining positive client relationships. The ideal candidate is detail-oriented, proactive, and skilled in negotiating payment arrangements and resolving disputes.
Key Responsibilities:
- Monitor client accounts to identify overdue payments.
- Contact clients via phone, email, and written correspondence to follow up on outstanding balances.
- Negotiate and establish payment arrangements while maintaining professional relationships.
- Investigate and resolve disputes related to billing and payments.
- Collaborate with attorneys and the business office to address client concerns.
- Prepare and maintain aging reports, collection reports, and account reconciliations.
- Implement and refine collection strategies to improve cash flow.
- Assist with month-end closing processes and provide reports on collections performance.
- Maintain detailed records of all collection activities and communications.
Qualifications:
- 2 years of experience in collections, accounts receivable, or a similar role.
- Strong knowledge of collection techniques and legal billing practices.
- Experience with legal billing software (e.g., Centerbase) preferred.
- Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks).
- Excellent negotiation and problem-solving skills.
- Ability to communicate professionally and tactfully with clients.
- Strong attention to detail and accuracy in financial record-keeping.
- Ability to prioritize and manage multiple accounts in a fast-paced environment.
- Experience working with attorneys and legal teams is a plus.
