Position Overview:
A Personal Assistant is an integral part of working with a busy Attorney, ensuring the smooth running of daily administrative and personal duties. This role requires strong organizational and communication skills, attention to detail and ability to multitask in a fast-paced environment.
Key Responsibilities:
- Office Operations:
- Fax, file, scan, copy, and sort mail, ensuring timely delivery and processing of documents and calendar events.
- Maintain office equipment (copiers, printers, etc.), coordinating repairs or servicing as needed.
- Monitor and replenish office supplies, ensuring the office runs smoothly.
- Assist with personal errands and tasks to ensure the attorney's efficiency.
- Provide excellent customer service to clients and visitors.
- Mail and Deliveries:
- Process and sort incoming mail (UPS, FedEx, USPS), ensuring timely logging and delivery to the appropriate team member.
- Handle regular and certified mail, including drop-offs at the post office during evening hours.
- Support to Office Staff:
- Assist team members with administrative tasks, such as copying, faxing, sorting mail, etc.
- Ensure the office environment, including service areas like the mail room, conference rooms, and kitchens, remains clean, organized, and well-stocked.
Qualifications:
- English speaker (Spanish is recommended but not required)
- Strong organizational and multitasking skills.
- Excellent communication skills and a professional phone demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in basic office equipment and computer systems.
Additional Information:
- Benefits: Paid 30-minute lunch break
