Sweeney Merrigan Law is growing, and we’re on the hunt for a versatile entry-level administrator to handle a variety of administrative, human resources, and financial duties.
Your duties may include scheduling appointments, handling inquiries, and managing outbound mail. You may also be required to assist with filing certain materials such as client documents and medical imagery. Administrative Assistant Responsibilities:
- Conduct employee onboarding and offboarding, including technology setup, software access, and payroll
- Run payroll under supervision of Office Manager
- Assist on phones when receptionist is out
- Maintain employee records and files
- Deposit incoming checks and print outgoing checks
- Manage the maintenance and repair of office equipment such as laptops, printers, and copiers
- Upload incoming CDs of medical images
- Maintain relationships with vendors such as our internet provider, building maintenance team, and cloud software providers, solving problems as they appear
- Organize and manage the appearance of the office space, particularly in anticipation of a client’s presence.
- Pay invoices
- Bring an attitude of curiosity – how can I solve this problem, and what do I need in order to figure it out?
- Provide general assistance to the Office Manager and firm leadership as needed
Administrative Assistant Requirements:
- bachelor’s or associate degree required
- This will be an on-site role.
- Prior experience as a legal or other receptionist will be advantageous.
- Familiarity with legal terms, legal documents, and filing preferred but not required.
- Excellent written and verbal communication skills.
- Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
- Exceptional interpersonal and communication skills.
