Law Office of Meghan Stokes LLC is a solo attorney, family-oriented, entrepreneurial law firm with a mission of making the lives of families better and we are seeking a sharp, driven, friendly Administrative Assistant to become part of our team for the long-term.
This will begin as a part-time, hourly position, with the possibility of becoming full-time in the future. There is a lot of room to grow in this position, as we are just in the process of establishing our systems, and will need you to take the lead on implementation and execution on our behalf, using the technology and training we’ve invested in to support you.
Our office is located in Chicago and operates virtually, with the exception of some in-client meetings, so this will be mostly a work-from-home position. You may be required to attend in-person client meetings, which will take place in downtown Chicago. We practice in the areas of estate planning, real estate (mostly residential, some commercial), probate administration, and business transactions. We are open during typical business hours, and you will be expected to work the bulk of your hours within that time frame. There may be an additional need to assist at seminars or other events outside regular business hours or on the weekend.
You MUST be “tech savvy” and able to handle working with several different databases of information. We use automation as much as possible to improve efficiencies in the firm. One of your most critical and immediate jobs will be to learn, understand and master the various systems that support us to serve our clients and ensure they have a “Wow!” experience every time they interact with our office. The current systems and software used are : Microsoft Office, Calendly, Jotform, Smokeball, ForeTrust, Google Suite, Mail Chimp, Zoom, and WordPress.
We are a very small team, which means you will need to figure some things out on your own and be able to creatively problem solve to create more efficiency in the delivery of our service.
If you are the right person, you’ll be ready to jump in and wear many hats. But, the most important part of your job involves talking with our prospects who are curious about our services, client relationship management (current and past clients), and data-entry and document production using legal practice software.
You will be helping with moving potential clients through our pipeline, our marketing efforts, getting our lawyer out in the community (expos, farmers markets, silent auctions) to get our firm seen and heard in the community. Then, you will follow up on leads and set appointments.
You must be able to think on your feet and make smart decisions. You will also have the ability to multi-task, have great people skills, and pay attention to detail. You also must be comfortable picking up a phone and making a request of someone, and then following up repeatedly, as needed. Compensation will include base pay of $20-$25 an hour, depending on experience. The position will start out as a part-time position, with the goal to move the position to a full-time position once the firm meets specific goals. We will be transparent about the firm goals, and how you will contribute to the firm meeting those goals.
