Job Description: Personal Injury/Workers’ Compensation Legal Assistant

Position Overview: We are seeking a dedicated and organized Personal Injury Workers' Compensation Assistant to join our team. This role is vital for ensuring smooth front office operations and providing essential support for our workers' compensation cases. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. Preferred hours 10:00 to 6:00.
Key Responsibilities:
- Reception Duties:
- Act as co-receptionist, assisting in the management of front desk operations.
- Transfer and direct incoming calls to appropriate personnel.
- Greet and assist visitors to the office, ensuring a welcoming environment.
- New Case Intake and Marketing Leads:
- Assist with the intake process for new cases, including following up on marketing leads.
- Handle incoming new case calls, providing initial information and guidance.
- Send out new case forms for electronic signature and follow up on forms that have not been returned.
- Client and Case Management:
- Communicate with clients both in writing and over the phone.
- Maintain contact with clients regarding appointments and recovery process.
- Prepare discovery requests for new workers’ compensation cases.
- Assist with new case inquiries, including weekend coverage every other weekend.
- Medical and Appointment Coordination:
- Assist with scheduling medical appointments for workers' compensation clients.
- Call to remind workers' comp clients about upcoming medical appointments and Independent Medical Examinations (IMEs).
- Follow up with clients to obtain updated treatment statuses and document this information in their files.
- Address prescription authorization issues for workers' comp clients.
Requirements:
- Must be familiar with personal injury. Workers' compensation experience a plus.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Previous experience in a legal setting is required.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Friendly and professional demeanor with strong interpersonal skills
- 3-5 years’ experience in workers’ compensation.
