Job Title: Administrative and Legal Assistant
Location: Chico, CA

Schedule: 40 hours per week / Mon – Friday / 8:00am – 5:00pm
Pay Range: $18 - $24/hour DOE
Position Overview
As an administrative and legal assistant, you will play a vital role in supporting our attorneys and other staff members by performing a broad range of both administrative and legal tasks. The ideal candidate would possess superior communication skills, both written and oral, in addition to excellent organizational, time-management, and prioritization skills. This role is client-facing and collaborates regularly with multiple attorneys, senior staff, and support staff to ensure seamless communication at every level.
Responsibilities
Administrative Assistant
- Provide clerical and administrative support to attorneys and other staff members, including answering incoming phone calls, making phone calls to clients or third parties as requested by attorneys, preparing and sending written and electronic communication, and other miscellaneous tasks.
- Assist with firm-wide calendaring ensuring appointments are confirmed and any necessary information is gathered prior to meetings.
- Process incoming and outgoing mail and faxes.
- Coordinate meetings and events for attorneys and clients ensuring smooth execution.
- Maintain and update files, spreadsheets, and other relevant documents.
- Assist with special projects and ad-hoc tasks as needed.
- Liaise with clients, insurance companies, opposing counsel, medical providers and other miscellaneous third parties in person, over the phone, and via email.
- Process, direct, and prioritize incoming calls, emails, and written communication to lawyers and senior legal staff.
- Proactively track, order and review client medical and billing records.
- Draft, proofread and send legal documents as instructed by attorneys or senior staff members.
- Perform scheduling and preparatory tasks for more complex matters including depositions, mediations, and other legal matters.
- Review, organize and maintain client files ensuring files are complete and progressing as directed by the handling attorney.
- Provide excellent and compassionate customer service while gathering relevant information from potential new clients for attorney review.
- Perform ad-hoc tasks and tasks for special projects as needed.
Qualifications
- Excellent verbal and written communication skills with a client-focused mindset
- Prior experience in an administrative role and/or office environment
- Ability to work independently and as part of a team
- Adaptable, solution-oriented, comfortable working in a fast-paced environment and a strong ability to prioritize
- Excellent organizational and time management skills with the ability to handle multiple tasks simultaneously
- Strong attention to detail and ability to maintain attorney client confidentiality
- Proficient in Microsoft Office Suite (Outlook, Word & Excel)
**Candidates with the following qualifications will receive priority consideration:
- Fluency in Spanish (highly preferred)
- Paralegal degree or certification
- Prior experience in a legal assistant or paralegal role (especially if your experience is in Personal Injury law)
- Experience working with multiple attorneys or high-level professionals simultaneously
