Position Title: Office Clerk
Overview:
The office clerk's primary responsibility is to support the managing paralegal and assigned attorney(s) by performing administrative and clerical tasks that facilitate case progress. Additionally, the office clerk will assist the firm with general administrative and clerical duties as needed and provide backup support to the front desk by answering phones and greeting visitors and staff.
Responsibilities:
- Assist with requesting, redacting, saving, compiling, and drafting documents for review and approval by the paralegal or attorney.
- Complete all tasks assigned by the manager and attorney promptly and accurately.
- Open and update client information in the company’s database.
- Ensure all client-related documents are accurately saved in the respective client data folder.
- Aid paralegals in drafting various legal documents.
- Organize and prepare settlement packages for submission to agencies such as the New York City Department of Education (DOE), Office of Legal Services (OLS), Bureau of Non-Public School Payables (NPSP), and Impartial Hearing Office Implementation Unit (IHOIU).
- Maintain, track, and update Excel spreadsheets as needed.
- Communicate with clients and schools to request necessary documents.
- Prepare reports, including initial, mid-year, and end-of-year reports, and follow up on any outstanding documents.
- Open and manage new case files in the database.
- Download and save documents from external databases, such as Monday and Power BI.
- Save, forward, and track pendency orders.
- Assist in organizing and compiling disclosure packets.
- Review stipulations and prepare stipulation worksheets.
- Prepare stipulations of settlement for clients and/or OLS.
- Maintain the firm’s file system, ensuring accessibility for all team members.
- Save and review transcripts as needed.
- Provide backup support to the front desk by answering phones and greeting visitors and staff.
Experience and Education Requirements:
- High school diploma or GED is required; a college degree is preferred.
- Minimum of two years of relevant work experience is essential.
Required Skills:
- Proficiency in Microsoft Office Suite and Adobe Acrobat.
- Strong attention to detail and the ability to follow the firm’s procedures and guidelines.
- Demonstrated ability to multitask effectively and prioritize responsibilities.
- Capacity to work independently while meeting deadlines.
- Excellent written and verbal communication skills for interacting with clients, team members, and external agencies.
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
Expected hours: 40 per week
