- Perform overflow receptionist activities/duties
- Work with the Managing Attorney and/or COO of the firm to create new policies and procedures, as well as a new employee onboarding process/package
- Regularly create and update law firm policies and procedures
- Track all attorney MCLE/ethics fulfillment, and report to attorneys via email on a quarterly basis regarding MCLE fulfillment obligations
- On an annual basis (by December 15 for the following year), ensures all state and federal employment notices are transmitted to all employees via email (copying HR Director) and are posted in the appropriate visible areas in the break room
- Orders supplies when necessary, within-firm policies and procedures, including submitting expense reports to HR Director prior to ordering supplies
- Prepare and send invoices to clients before the end of the month, and follow up with clients via phone and email for payment on overdue invoices as instructed by Managing Attorney
- Create and update firm forms, templates, and checklists in law firm systems as instructed by Managing Attorney and/or COO
- Train and supervise all newly hired receptionists and administrative staff
- Draft legal correspondence to transmit to clients, county/state entities, and other third parties
- Resolves issues with technology (Internet, e-fax, VPN server, etc.) and equipment (printers, computers, etc.) utilizing the property technological vendors and consultants
- Manage the payment of bills and invoices for law firm operations
- Serve (via mail) legal documents on required parties, and submit notices to court for filing
- Supervise the processing of incoming and outgoing mail to ensure completion within law firm procedures
- Arrange and schedule law firm social events, as well as staff meetings
- At least 5 years of experience as an Office Manager, preferably at a small to mid-sized law firm
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures
- Excellent knowledge of MS Office and other technological platforms, such as CRMs
- Bachelor's Degree, or Associate's Degree (or equivalent) in office administration or relevant field
- Spanish fluency is a plus, but not required
