Medical Office Administrative Assistant​ (1 Full-time position available)
 
Join our rapidly expanding, employee-centered company with an exciting opportunity for a full-time Medical Office Administrative Assistant at our Vineland, NJ location. The hours are Monday to Friday, 8am to 4:30pm.
 
In this role, you'll provide vital administrative support to the Patient Services department, while overseeing front desk operations when needed. We’re looking for a motivated individual who values a welcoming, safe, and collaborative office atmosphere, and is eager to contribute to a positive team culture.
 
Role and Responsibilities:
  • Obtains and enters patient information including demographics, insurance, written orders, notes, etc. 
  • Verifies insurance benefits
  • Completes follow up calls with physicians, insurance companies, and patients
  • Ensures all billing documentation is in the patient’s file for proper billing
  • Properly schedules and confirms patient appointments, and records in them system
  • Greets patients and answers phone calls in a courteous and professional manner
  • Routes calls to the appropriate personnel.
  • Communicates with patients to advise of financial responsibility
  • Collect co-pays and/or deposits when needed.
  • Properly enters all transactions and payments in the system.
  • Data entry
  • Maintains electronic scheduling patient records system
  • Prepare files in advance prior to patient appointment date
  • Maintains office supplies and orders additional supplies as needed
  • Exercise knowledge of different insurance company's or plan's procedures
  • Provide excellent customer service to all patients
  • Assure flow of service
  • Complete other duties as assigned
Qualifications and Educational Requirements:
  • Ability to work independently
  • Ability to exercise judgment and make decisions
  • Excellent communication skills to communicate with patients, physicians, clients, coworkers, and management staff
  • Ability to perform in a high productivity, fast-paced environment
  • Ability to document accurately and concisely
  • Excellent phone and computer skills
  • Ability to maintain sensitive information in confidence
  • Ability to meet deadlines and prioritize diverse responsibilities
  • Proficient in Microsoft applications including but not limited to Outlook, Word, Excel
  • Organized and detail-oriented
  • High school diploma
  • Knowledge of anatomy and medical code is a plus
  • Spanish speaking is highly preferred
