Position : Project Coordinator (PC)
Report to : Project Manager (PM), Team Lead
The Project Coordinator (PC) plays a pivotal role in supporting the Special Projects team by managing the flow of information, expediting tasks, and contributing to efficient project execution. An interest in mechanical and plumbing systems construction is highly beneficial.
Key Responsibilities
Organizational Management :
- Create and maintain project folders, ensuring accurate records and folder structure that meet office standards.
- Update and maintain the master project list following meetings, distribute updates and resulting action items to the team. Responsible for measurement and follow up.
- Document Management, subcontract agreements, certificates of insurance, preliminary notices and purchase orders.
- Coordination of project billing process working closely with accounting.
- Conduct production meetings including Project Managers and Field Leaders.
- Work with the Process Improvement Analyst to evaluate division efficiency.
Project and Estimating Support :
Assist Project Managers and Estimators in all phases of project execution, from pre-bid activities to project closeout.Coordinate and compile RFPs / RFQs, vendor quotes, and subcontractor proposals.Work with the Estimating and Project Management to ensure quote and project folders are complete with the most recent estimate, proposal, vendor quotes, and subcontractor quotes before incorporation into project folders.Assist the estimating team as needed with bid coordination, and submission.Organize and compile estimate data into comprehensive quote folders for use in project kickoffs.Assist in managing work order projects, with the goal of assuming greater responsibility over time.Create project data sheets and submit preliminary notices via certified mail.Document and Process Management :
Manage RFIs and submittals, including performance data verification, submission, approval tracking, and distribution to field teams, subcontractors, and vendors.Organize and distribute project documents, including plans, specifications, and bid documents.Maintain office drawings and track modifications due to field conditions or design changes.Manage and track all open purchase orders and associated documentation, including packing slips.Risk Management :
Request and submit certificates of insurance to customers.Manage and keep subcontractor and vendor certificates of insurance up to date.Ensure compliance with division protocols by managing background clearances, badging, and related training certifications. Maintain a detailed and accurate database.Project Execution and Closeout :
Conduct site walks to create and update completion lists, identify potential RFIs, and address change orders.Manage contract closeout deliverables, including punch list items, as-built drawings, operation and maintenance manuals, warranties, and other contractual requirements.Support the procurement of equipment and materials by tracking releases, ship dates, and deliveries.Other Duties as Assigned :
Collaborate with field, detailing, and fabrication teams to ensure seamless communication and project coordination.Assist in the development and refinement of QA / QC processes for design / build projects.Attend project & bid walks as needed.Required Skills and Qualifications
Exceptional organizational and simultaneous task management skills with the ability to thrive in a fast-paced growth driven environment.Strong attention to detail and accuracy, including the ability to proofread and identify errors.Proficiency in Word, Excel, and Outlook; experience with Bluebeam and Microsoft is a plus.Familiarity with Bluebeam, Microsoft 365 environments and workflow automation tools.Adept at conducting research, organizing information, and communicating findings effectively.Outstanding customer service skills, professionalism, and a high level of patience.Eagerness to learn, grow, and adapt to new challenges in a dynamic team environment.This role is perfect for someone who thrives on personal and professional growth and enjoys contributing to a team that’s making great strides in our industry.
