Job Description: Join our team as a versatile Front Office Admin / Hybrid, where you’ll play a critical role in creating organization and accountability and supporting our growing business. This dynamic position is essential to our team’s success, offering the unique opportunity to engage directly with leadership, manage front-office responsibilities, and take on optional accounting, HR, and executive support tasks.
As the Front Office Admin, you’ll be the face of our office, handling front desk tasks, answering phones, and welcoming visitors. You’ll also participate in team meetings, take notes, track action items, and support various administrative projects. For candidates with relevant experience, there are additional responsibilities in accounting support (such as accounts receivables and reporting), HR (including onboarding and record-keeping), and executive assistance, which will be considered for higher compensation.
Key Responsibilities:
- Front Office Management: Greet visitors, answer direct phone calls, manage mail deliveries, and maintain office supplies.
- Administrative Support: Schedule meetings, prepare documents, take meeting notes, and track action items.
- Accounting Support: Assist with coding and processing invoices, preparing reports, and managing accounts receivables.
- Executive Assistance: Provide executive support by handling confidential information, coordinating leadership schedules, and preparing meeting materials.
- HR Support: Help onboard new hires, maintain employee records, support recruitment efforts, and coordinate HR communications.
- Cross-functional Engagement: Participate in team discussions, contribute insights, and help streamline workflows.
Qualifications:
- Proven experience in an administrative, front office, accounting, HR, or executive assistant role.
- Strong organizational skills and a proactive approach to multitasking.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or similar software.
- Ability to work both independently and as a collaborative team member.
- Accounting, HR, or executive assistant experience is a plus and will influence final compensation.
