PRINCIPAL DUTIES / RESPONSIBILITIES

The ideal candidate will:

  • Manage office operations: Assist in scheduling meetings, coordinating events, managing calendars, and ensuring the smooth running of the Corporate Office.
  • Document management: Filing documents, maintaining records, and ensuring accurate data entry.
  • Communication management: Answering phone calls, responding to emails, and greeting visitors.
  • Office supplies management: Tracking inventory and ordering office supplies.
  • Administrative support: Preparing reports, creating presentations, and assisting with basic bookkeeping tasks.
  • Compliance and policy enforcement: Ensuring adherence to company policies and procedures.
  • Customer service: Professionally interacting with clients and vendors.
  • Track and maintain adequate inventory. Audit inventory to ensure accuracy with the Enterprise system. Order inventory to meet customer demand. Ensure the smooth operation of material coming in and flowing out to maximize the efficiency of the operations.
  • Prepare accurate quotes in support of the Field Sales force. Follow-up on quotes.
  • Enter orders into the ERP system.
  • Assist with onboarding new employees: Assisting with onboarding new staff members.
  • Gain an understanding of customer needs and offer appropriate solutions.
  • Provide technical training, start-up, and assistance to customers.
  • Continuously increase knowledge of company products, services, and procedures.
  • Work in a team environment, communicating as required with all personnel.
  • Learn and use the ERP system.
  • Keep the CRM system updated.
  • Resolve or facilitate the resolution of customer complaints.
  • Participate in new product development and/or new product introductions.
  • Prepare various reports and maintain records as required.
  • Perform other duties as required.

QUALIFICATIONS

Experience

  • A bachelor’s degree in environmental science, related discipline, or equivalent experience is preferred but not required.
  • Working knowledge of Microsoft Office, including Excel, Access, Word, PowerPoint, and Outlook.
  • Water/Wastewater industry (or similar technical) experience is a plus.

Skills and abilities

  • Proficiency in the use of the English language in reading, writing, and speaking.
  • Ability to successfully interact with all organizational levels
  • Demonstrated proficiency in managing multiple tasks and activities simultaneously, organizing and setting priorities, and meeting deadlines.
  • Demonstrated ability to be mobile in the work environment and travel as required.
  • Computer savvy; ability to learn and retain new programs and applications.
  • Demonstrated skills in project management.
  • Ability to understand the conditions of the marketplace and present solutions to challenging times.
  • Ability to pass a drug test and DMV background check.
  • Excellent written and verbal communication skills to effectively interact with various stakeholders.
  • Strong organizational skills: Prioritizing tasks, managing multiple projects, and meeting deadlines.
  • Attention to detail: Ability to meticulously review documents and ensure accuracy.
  • Proficiency in office software: Microsoft Office Suite, email management systems, and other relevant software.
  • Time management skills: Effectively managing workload and prioritizing tasks.
  • Interpersonal skills: Ability to build positive relationships with colleagues and clients.
  • A growth mindset and a desire to advance within the organization.
