Position Summary

We are searching for a perceptive, creative Administrative Manager to oversee office operations and Administrative Staff Members. The Administrative Manager will hire, train, and evaluate administrative team members; develop, review, and improve policies, systems, and procedures; and generally, ensure the office operates smoothly and efficiently.

To succeed as an administrative manager, you should be focused on attracting and retaining top talent and streamlining office operations to maximize quality and efficiency while reducing costs. You should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills.

 

Primary Duties and Responsibilities

  • Supervising the day-to-day operations of the administrative department and staff members.
  • Hiring, training, and evaluating employees and taking corrective action when necessary.
  • Ensuring/oversee that the offices are stocked with necessary supplies and that all equipment is working and properly maintained.
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions. Ensuring Office events are held at each office in accordance with Objectives. 
  • Reviewing and improving administrative systems, policies, and procedures.
  • Monitor spending, and timecard reviews/approvals, and other expenses.
  • Collecting, organizing, and storing information using computers and filing systems.
  • Overseeing special projects and tracking progress towards company goals.
  • Building and expanding on skills by engaging in educational opportunities.
  • In partnership with Admin Director and Travel Admin, oversee Travel Program and accounts. Travel Program SME for LCPtracker. Ensure Travel accounts and expenses are reconciled with the Finance Department.  
  • Manage and Track Admin department OKRs as assigned. Example: Monthly office budgets, number of community events.
  • In partnership with Admin Director, act as administrator on assigned accounts, training users as needed. 
  • Partner with Admin Director on championing OKR adoption across the firm, including selecting and implementing OKR software.

Required Education and Experience

  • Bachelor’s degree in business administration, management, or a related field or equivalent experience.
  • Experience in a related field, such as management or financial reporting, preferred.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency with computers, especially MS Office.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
  • Willingness to continue building skills through educational opportunities.

Work Environment

This position performs its duties from our Michigan office. This position operates in a professional office environment and role routinely uses standard office equipment such as computers, phones, mobile devices, photocopiers, filing cabinets and fax machines.

 

Physical Demands

While performing the functions of this job, the employee is regularly required to sit; frequently required to talk and hear, use hands and fingers to type, scroll and use computer equipment. The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection of text/data in both print and electronic forms.

 

Position Type and Expected Hours of Work

This is a Fulltime Exempt position reporting to our Michigan Office. Days/hours worked are dependent on the workload at the time. General availability and presence are expected during regular business hours from 8am – 5pm Monday-Friday. However, some flexibility is allowed. Occasional evening and weekend work may be required as job duties demand.

 

Travel

There is no major travel requirement for this position. However, infrequent travel may be necessary to visit remote office(s), attend conferences/industry events, etc. Attendance at our annual corporate Staff Retreat is required, which typically takes place in December. This 2-3-day retreat takes place locally in Southern California. Attendance at our annual User Conference as assigned. 

 

Salary Range

Annual Salary is expected to be between 60k-65k. Pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
