Position Summary
Brown Advisory is currently seeking a professional, energetic and self-motivated Executive Assistant to support the CIO of Private Investments and the Managing Director of Private Investments in our Baltimore office. Candidates must possess the professional maturity to handle confidential and delicate issues and internal matters.
The primary duties and responsibilities include but are not limited to:
Have a positive attitude and the desire to provide impeccable support to Brown Advisory team members. You will regularly interact with team members within and outside the Private Investments team, providing high levels of customer service. You have an ability to communicate directly, concisely and with a balanced tone, on paper and verbally, formally and informally.
Be organized, thorough and accurate. You will have strong organizational skills allowing you to manage multiple priorities while maintaining exceptional attention to detail.
Be adaptable and ambitious. You will enthusiastically take on other assignments as needed to support your team.
Be proactive. You are eager to contribute and learn, ask lots of questions, and provide solutions before we even know there are issues. You are excited about making ongoing process improvements.
Work independently and follow tasks through to completion and meet commitments, proactively seeking guidance as necessary.
The primary duties and responsibilities include but are not limited to:
Coordinate executive communications, including taking calls, monitoring and responding to e-mails and interfacing with vendors, clients and other firm leaders and assistants.
Proactively assist and anticipate the needs of the CIO of Private Investments and the Managing Director of Private Investments, autonomously prioritizing competing tasks.
Act as gatekeeper to help prioritize outcomes and eliminate distractions.
Prepare internal and external corporate documents for team members.
Schedule meetings and appointments and manage travel itineraries.
Prepare meeting rooms, establish conference calls, and prepare technology for presentations and communication.
Create and edit PowerPoint presentations/Excel spreadsheets, etc.
Establish effective working relationships with colleagues and external contacts.
Assist with research on special projects as assigned.
Help coordinate Baltimore office-wide projects and initiatives.
Assist broader team as needed.
Uphold a strict level of confidentiality.
Qualifications:
Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management.
Bachelor’s degree preferred.
Advanced Microsoft Office skills, including Word, Excel and PowerPoint, with an ability to become familiar with firm-specific programs and software, including Salesforce.
Superior written and oral communication skills.
Illustrates tact, discretion, and good judgment in handling sensitive and confidential information.
Ability to work in an office location.
Salary: $70-85k. Commensurate with experience and location. Does not include bonus or long term incentive eligibility (if applicable).
