Our client an established Wealth Management and Tax Firm is seeking an Administrative Assistant to join their team. The ideal candidate will possess strong communication skills, be proficient in various office management tasks, and demonstrate a commitment to delivering exceptional customer service.

The role requires experience in various applications especially Microsoft Word, Excel and outlook; in addition to various systems that we use for client's service and paperwork.

This role represents a career path.

Responsibilities

  • Manage and maintain calendars, scheduling appointments and meetings efficiently.
  • Provide administrative support including data entry, filing, and document preparation.
  • Answer phone calls and manage phone systems to ensure effective communication within the office.
  • Assist with customer service inquiries, addressing client needs promptly and professionally.
  • Maintain an organized office environment, ensuring all supplies are stocked and equipment is functioning properly.
  • Support various office management tasks as needed, including clerical duties and coordination of office activities.
  • Collaborate with team members to enhance workflow and improve operational efficiency.

Qualifications

  • Proven experience in an administrative role or similar position is preferred.
  • Strong calendar management skills with the ability to prioritize tasks effectively.
  • Proficiency in computer literacy, including familiarity with office software applications, CRM and the ability to learn new software.
  • Excellent customer service skills with a friendly demeanor when interacting with clients and colleagues.
  • Experience at financial institutions is a plus but not required.
  • Ability to perform data entry accurately and efficiently while maintaining attention to detail.
  • Knowledge of basic office management practices and procedures is beneficial.
