Position Description

Title: Administrative Management Specialist

Organization: Center for Security Forces (CENSECFOR), Headquarters
Work Schedule: Full-time, 40 hours per week
Location: CENSECFOR Headquarters

Position Summary

The Administrative Management Specialist serves as a critical member of the CENSECFOR Headquarters staff, delivering high-level administrative and management support across a wide spectrum of command programs and operations. This position supports senior leadership in coordinating activities spanning eighteen (18) training locations, including subordinate commands, detachments, and learning sites. The incumbent operates with a high degree of independence and discretion, regularly interfacing with military and civilian personnel to ensure seamless administrative operations.

Duties and Responsibilities

  • Draft and prepare official correspondence, directives, and forms in correct format, ensuring accuracy, proper grammar, and adherence to Navy style guides.
  • Utilize advanced word processing, desktop publishing, spreadsheet, calendar, email, and graphics software to develop technical and administrative documents.
  • Manage all aspects of travel for senior leadership, including transportation, lodging, itineraries, and travel documentation in compliance with DoD travel regulations.
  • Support planning and execution of CENSECFOR-hosted conferences and high-level meetings, including protocol, logistics, scheduling, and on-site assistance.
  • Maintain calendars for the Commanding Officer, Executive Director, and Center-wide meetings; oversee scheduling for HQ conference rooms and Audio Bridge.
  • Analyze and review proposed and existing regulations for clarity, accuracy, and alignment with policy; recommend changes and ensure final documents meet publication standards.
  • Provide technical publishing support for newsletters, briefings, manuals, and training materials to enhance readability and presentation effectiveness.
  • Manage the Command Incentive Awards Program, preparing and processing award packages for military and civilian personnel.
  • Take detailed minutes during key meetings and track action items to completion.

Key Qualifications

  • Ability to function as an Office Manager, exercising discretion and independent judgment on matters of significance.
  • Proven experience establishing work priorities, managing high-volume tasks, and communicating effectively across all command levels.
  • Demonstrated ability to work independently, manage sensitive information, and provide executive-level administrative support.
  • Bachelor’s degree from an accredited institution and at least 3 years of experience in a Navy administrative environment, or a minimum of 12 years of experience in a Navy or Marine Corps administrative environment.
  • Minimum of 5 years’ experience providing executive-level administrative support within the Navy or Marine Corps.
  • Experience within the last 3 years supporting executive administration, presentation preparation, operations, and protocol.
  • Proficient in event planning, itinerary development, and Navy protocol/military courtesies.
  • Excellent written and verbal communication skills.
  • Thorough knowledge of Navy and Marine Corps command structure, organizational practices, and culture.
  • Ability to obtain and maintain a Favorable Tier 3 Background Investigation (Public Trust).
