Carl Fenichel Community Services (CFCS) Day Habilitation program is seeking a receptionist to provide administrative support in the adult services program. The receptionist will perform a wide variety of clerical and administrative tasks that include but are not limited to the following:
- Maintains a welcoming environment by greeting visitors and managing appointments.
- Answer phones and manages key less entry into building
- Manages correspondence with program participants, including use of mass mailings, phone contacts, and emails.
- Manages office supplies, completed inventory, and fulfills requests for items needed by programs requested by supervisor.
- Organize and maintain office filing systems.
- Manage program databases.
- Attend staff meetings as required.
- Prepare monthly department reports and respond to requests for information involving the program.
- Create purchase orders for Supervisor’s approval.
- Maintains ledgers of department expenses and assists with obtaining appropriate signatures.
- Manages ordering and distribution of supplies.
- Field inquiries and requests from staff and clients in a timely manner.
- Manages schedule of the program as needed, making and scheduling appointments
- Implement and oversee compliance with office policies and procedures.
- Basic data entry into agency systems.
- Copies, mails, faxes and files relevant information as requested by program supervisors.
- Creates statistical, billing, and other reports as requested.
- Receives and responds to correspondence.
- Maintains adequate supplies.
- Completes reports.
- Performs a variety of duties, depending upon the assigned work area.
- Ability to work remotely as needed.
- Performs additional duties as assigned.
EDUCATION AND EXPERIENCE:
- High school diploma, Bachelor’s Degree preferred
- Minimum 2 years’ prior office administrative support experience
- Ability to coordinate multiple tasks
- Solid knowledge of office equipment
- Knowledge of MS Word, Excel and Outlook
- Excellent communication (written/oral) skills
SCHEDULE:
- 35 - 40 hours per week, Monday - Friday
