Position Overview

The Executive Assistant provides high-level administrative and office support to the Chief Executive Officer (CEO) of the Learning Community (LC), the Executive Director of the Elementary Learning Centers (ELCs), the Finance Director, the Human Resources/ Operations Director, and the members of the Learning Community Coordinating Council (LCCC).

Key Responsibilities

  • Executive & Council Calendar Management: Manage complex scheduling for executives and Coordinating Council members, including meetings, events, and conference attendance.
  • Meeting & Council Support: Prepare materials, take minutes, and track action items for executive and council meetings. Ensure council members receive key communications from the CEO.
  • Communication & Correspondence: Handle executive and council communications, including emails, calls, and official notices.
  • Travel & Expense Coordination: Arrange travel logistics and process expense reports for executives and council members.
  • Document & Compliance Management: Maintain confidential records and oversee Oath of Office completion for elected and re-elected council members.
  • Project & Office Operations Support: Assist with special projects, oversee office tasks, coordinate with vendors, and update the organization's website.
  • Confidentiality & Other Duties: Uphold discretion and provide additional support as needed.

Qualifications

· Bachelor’s degree in business administration or education field is preferred.

· Minimum of 3 years’ experience as an Executive Assistant or in a similar administrative role.

· Exceptional organizational and time management skills with a keen eye for detail.

· Strong written and verbal communication skills; ability to communicate effectively with executives, LCCC members and stakeholders.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

· Strong analytical and problem-solving abilities; ability to anticipate and proactively address needs.

· Proven ability to handle sensitive and confidential information with discretion.

· Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.

· Strong interpersonal skills with the ability to build relationships across all levels of the organization.

· Demonstrated professionalism and commitment to quality in all aspects of the role.

Job Type: Full-time

Pay: $55,000.00 - $60,000.00 per year
