Job Summary: The Accounts Payable and Payroll Specialist will oversee the processing of all accounts payable and payroll transactions, ensuring accuracy, compliance, and timely execution. This role requires proficiency in accounting software, a strong understanding of accounting principles, and excellent organizational skills.
Key Responsibilities:
Accounts Payable:
- Process all incoming vendor invoices, ensuring accuracy and proper authorization.
- Maintain organized records of all accounts payable transactions and vendor communications.
- Reconcile vendor statements and resolve discrepancies promptly.
- Prepare and execute payments via checks, ACH transfers, or other approved methods.
- Collaborate with internal departments to verify and obtain necessary approvals for expenditures.
Payroll Processing:
- Accurately process payroll for all employees, including calculating wages, deductions, and benefits.
- Ensure compliance with federal, state, and local payroll regulations.
- Maintain and update employee payroll records, including tax withholding forms and direct deposit information.
- Address and resolve payroll-related inquiries from employees in a timely manner.
Account Reconciliation:
- Perform regular reconciliations of bank accounts to ensure alignment with financial records.
- Reconcile payroll-related accounts and prepare necessary journal entries.
- Identify and investigate discrepancies, implementing corrective actions as needed.
- Assist in month-end and year-end closing processes by providing accurate financial data.
Compliance and Reporting:
- Prepare and file required payroll tax reports and payments.
- Ensure all financial transactions adhere to company policies and regulatory standards.
- Generate financial reports related to accounts payable and payroll activities for management review.
- Stay updated on changes in payroll laws and regulations to maintain compliance.
- Experience: Minimum of 3 years of experience in accounts payable and payroll processing.
- Software Proficiency: Experience with accounting and payroll software such as QuickBooks, ADP, or similar platforms.
- Skills: Strong attention to detail, excellent organizational and communication skills, and the ability to manage multiple tasks effectively.
