Purpose:

The Office Manager provides secretarial support to the building Principal conveying information to students, staff, parents and community regarding school functions and procedures; ensuring compliance with building’s fiscal and administrative requirements; overseeing office activities in support of the services provided to students, parents, instructional and support employees.

 

Duties:

  • Responds to inquiries from a variety of internal and external parties by phone, letter and/or in person (e.g. staff, parents, students, public agencies, etc.).
  • Screens inquiries of staff, students, parents, the public/visitors, etc., for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Coordinates a variety of site-based programs and/or activities (e.g. task assignments, meetings, classroom and site staff coverage, building usage, building in-service day activities, workshops, travel and accommodations, awards activities, etc.) for the purpose of ensuring availability of facilities and/or equipment and delivering services in conformance to established guidelines.
  • Maintains documents, files and records (e.g. administrative records, staff activities, sub folders, building personnel records, student files, building budget, etc.) for the purpose of providing up-to-date reference and audit trail for compliance.
  • Supervises students for the purpose of monitoring students referred for illness or disciplinary actions.
  • Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
  • Processes documents and materials (e.g. building mail, daily attendance, grades, purchase orders, work orders, bank deposits, etc.).
  • Researches discrepancies in processes and/or documentation for the purpose of ensuring adherence to appropriate administrative and/or legal guidelines.
  • Assists other personnel for the purpose of supporting them in the completion of their work activities.
  • Attends meetings as assigned (e.g. student records, fiscal, budget, etc.) for the purpose of representing building administration, taking minutes, conveying and/or gathering information.
  • Compiles data from a variety of sources (e.g. payroll, honor roll, attendance, staff and student handbook, enrollment counts, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
  • Composes documents (e.g. standardized correspondence, bulletins, newsletters, etc.) for the purpose of documenting events, providing and/or requesting information.
  • Maintains inventories of supplies and materials for the purpose of ensuring items’ availability.
  • Monitors assigned district activities and/or program components (e.g. classroom coverage, projects, general budget, field trip costs, ASB budget, etc.) for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
  • Orients new site personnel (e.g. substitutes and staff as required) regarding appropriate school and district practices for the purpose of effectively assimilating new personnel into site operations.
  • Oversees office staff, student assistants, volunteers, etc., for the purpose of ensuring appropriate procedures are followed and/or meeting work demands.
  • Administers first aid and medication to students under the direction of health professional for the purpose of meeting immediate health care needs.
  • Prepares written materials (e.g. master schedules, budgets, reports, memos, letters, payroll, accident reports, health room log, etc.) for the purpose of documenting activities.
  • Other duties as assigned.

Professional Qualifications:

  • High School Graduate or equivalent
  • Three (3) to five (5) years in a secretarial/administrative support position preferred, preferably in a K-12 environment.
  • Bilingual preferred.
  • Proven ability to work independently; effectively performs as a self-starter, using independent decision making appropriately. Understands the importance of confidentiality in working with staff, students and parents.
  • Demonstrated ability to relate to and work effectively with students, staff, parents, community, officials, and other school districts on a regular basis.
  • Demonstrated skills in appropriate software applications (i.e. MS Word, MS Excel, MS Publisher, MS PowerPoint, Schoolmaster), and ability to learn new software/hardware as needed.
  • Outstanding written, verbal and customer service skills (both over the phone and in person).
  • Thorough knowledge of business English, spelling and math.
  • Ability to work independently in the absence of specific instruction.
  • Ability to interpret and apply policies and procedures.
  • Demonstrated ability to communicate effectively with a wide variety of individuals.
  • Demonstrated skills in appropriate software applications (i.e. MS Word, MS Excel, MS Publisher, MS PowerPoint, Tyler SIS or Schoolmaster), and ability to learn new software/hardware as needed.
  • Outstanding written, verbal and customer service skills (both over the phone and in person).
  • Thorough knowledge of business English, spelling and math.
  • Ability to work independently in the absence of specific instruction.
  • Ability to interpret and apply policies and procedures.

Physical Requirements:

The usual and customary methods of performing the job’s functions require the following physical demands:

  • Minimal lifting, carrying, pushing, and/or pulling
  • Ability to lift 30 lbs.
  • Minimal stooping, kneeling, crouching, and/or crawling
  • Significant fine finger dexterity
  • Generally this job requires 50% sitting, 30% walking, and 20% standing
