Operations Assistant Job Description
Position Summary:
The Operations Assistant supports daily business operations by assisting with administrative tasks, coordinating workflows, and ensuring smooth execution of operational processes. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The Operations Assistant will work directly with and provide support to the VP of Operations.
Essential Functions (Other duties as assigned):
- Greet and assist visitors, ensuring a welcoming and professional environment.
- Answer and direct phone calls, emails, and other inquiries.
- Assist in coordinating and overseeing day-to-day operational activities.
- Maintain records, reports, and documentation for operational processes utilizing ERP system.
- Communicate with vendors, suppliers, and internal departments to ensure smooth operations.
- Communicate with cross-functional teams as needed to support business operations.
- Assist with scheduling, logistics, and workflow management.
- Prepare reports and presentations as needed.
- Monitor and ensure compliance with company policies and procedures.
- Perform general administrative duties such as data entry, filing, and responding to inquiries.
- Assist in troubleshooting operational issues and recommending process improvements.
- Provide support for special projects and company initiatives.
- Work closely with the VP of Operations to manage priorities and support executive functions.
- Compliance Duties: keeping records of SDS, EPA and Hazmat items.
Education and Required Skills:
· High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
· 2 years of experience in operations, administration, or a related field (millwork manufacturing preferred).
· Strong organizational and multitasking skills.
· ERP System experience is preferred, but not required.
· Excellent verbal and written communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
· Ability to work both independently and collaboratively within a team.
· Strong problem-solving skills and attention to detail.
· Ability to adapt to changing priorities and deadlines.
Working Condition:
The physical environment requires the employee to work in an office setting with prolonged periods of sitting at a desk and also walking the shop floor.
