DMINISTRATIVE ASSISTANT
Job Summary: The Administrative Assistant (AA) receives Accounts Payable for the nursing home. Organizes, maintains and completes all administrative reports required for efficient functioning of the nursing home. Strives to maintain communications with other departments and with the Administrator, manages petty cash and other finances of the facility. Maintains receipts for expenditures. Reports all significant information to the Administrator. Responsible to the Administrator. Accepts administrative responsibilities in Administrator’s absence.
Education: High school diploma required. Business courses and basic accounting preferred, but not required.
Qualifications
1.Must have some experience with bookkeeping
.2.Must be able to type, and to use other office equipment.
3.Will receive some on-the job training regarding proper handling of administrative matters according to formulated policies.
4.General knowledge of assisted living facility functions.
5.Has the ability to work well with the general public.
6.Has the ability to meet and deal with a variety of employees, residents, and relatives.
7.Considerable initiative and judgment is needed promoting favorable public relations.
8.Must be sociable, courteous and have a memory for details.
9.Must have a pre-employment and an annual Tuberculosis screening examination as required by the state the Administrative Assistant is employed
Responsibilities:
1. Handles resident’s funds and distributes their money according to the resident demand, or to expenses incurred outside of the facility when necessary.
2. Completes weekly, monthly and quarterly reports.
3. Answers the telephone.
4. Relates knowledgeable information regarding admission requirements and rates.
5. Assists in filing and maintaining discharge records.
6. Completes Federal, State, and miscellaneous forms upon request, and as a part of routine admission.
7. If certified by the State, completes Medicaid application when necessary. 8. Attends and participates in facility meetings.
9. Participates in Quality Assessment and Improvement Program
10. Participates in Quality Assessment Performance Improvement Program
11. Reports immediately to Director of Nursing and Facility Administrator, situations involving abuse, neglect, or suspicion of a crime.
12. Adheres to the Code of Conduct, Compliance Program, HIPPA Standard, and Computer Usage Agreement.
13. Performs any other responsibilities as discussed and designated by the Facility
Administrator Professional Requirements:
1. Adheres to dress code, appearance is neat and clean.
2. Completes educational requirements per policy.
3. Maintains regulatory requirements.
4. Occasional travel/overnights required for training, professional meetings, emergencies, and evacuations.
5. Reports to work on time and as scheduled.
6. Wears identification while on duty.
