Job Summary:
We are seeking a highly organized and detail-oriented Construction Administrative Assistant to join our team. This role will provide administrative support to ensure smooth operations of construction projects. The ideal candidate will have excellent communication skills, a strong understanding of construction processes, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to the construction project team, including project managers and supervisors.
- Manage project documentation, including contracts, purchase orders, change orders, and invoices. (AIA Applications G702-1992 & G703-1992)
- Schedule meetings, site visits, and coordinate appointments for project teams.
- Maintain and update project schedules, ensuring timely completion of project milestones.
- Answer phone calls, respond to emails, and handle general inquiries from clients, subcontractors, and suppliers.
- Organize and track project materials and supplies, ensuring timely delivery.
- Prepare and file reports, including daily logs, safety reports, and meeting minutes.
- Assist in the preparation of project bids and proposals.
- Accounts Payable and Receivable
- Process subcontractor and vendor payments.
- Maintain accurate records for compliance and regulatory purposes.
- Provide support in the coordination of on-site activities and logistics.
- Builder Trend, QuickBooks, and Level Set knowledge
- Booking Travel Accommodations
- Keeping track of Time Clock and processing Payroll.
Qualifications:
- High school diploma or equivalent required; associate degree in construction management or related field preferred.
- Proven experience as an administrative assistant, preferably in the construction industry.
- Strong knowledge of construction terminology and processes is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with project management software (e.g., Procore, Buildertrend, Bidding Software's) is a plus.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work independently and in a team environment.
- Attention to detail and a proactive attitude toward problem-solving.
- Must be able to travel to office location.
