We are seeking an organized and detail-oriented individual to join our team for a temporary 8-week assignment as an Employee Files Audit Clerk. In this role, you will be responsible for auditing, organizing, condensing, and converting employee files into a streamlined, electronic filing system. This position requires proficiency with both paper and electronic records management, along with an understanding of HRIS (specifically UKG) systems and compliance standards.
Key Responsibilities:
- Condense and Organize Electronic Files:
- Locate and review all existing employee e-files on the shared drive.
- Organize files by categories such as personal information, employment history, benefits, and performance reviews.
- Create active employee files, removing duplicates and outdated files.
- Convert Paper Files to Electronic Format:
- Identify physical employee files, scan relevant documents, and upload them to the shared drive.
- Integrate scanned files into the existing electronic system for a comprehensive file system.
- Audit Employee Files:
- Review physical and electronic files for completeness and compliance.
- Document and report any missing records or documents, including those required by company policy or legal standards.
- HRIS Integration (UKG):
- Download employee data from the HRIS (UKG) system.
- Ensure that all relevant documents from the HRIS are uploaded to the corresponding employee files.
- Final Reporting:
- Generate a final report detailing the number of files processed and any missing documentation.
- Provide recommendations for future file management to maintain compliance and organization.
