What are the responsibilities and job description for the Administrator position at Legal Assistance of Western New York, Inc.?
POSITION DESCRIPTION
The Administrator is charged with working collaboratively with the office Administrator and Managing Attorney team to ensure the day-to-day functioning of the office, including the development of future plans and projects to expand and support the work being done in the service area; working to ensure coverage for various intake and reception tasks; examining and making office processes more efficient, including using our case management system to improve client services and staff efficiency; playing an active role in regional LawNY workgroups; some fiscal functions; onboarding and organizing training for new staff members/AmeriCorps members; and other duties to be assigned as the individual develops in the position including assisting with grants management/reporting (with a heavy emphasis on utilizing our internal case management system to communicate data to funders and some narrative reporting); This position is an in-office position, with some flexibility to work remotely after 6 months
QUALIFICATIONS These are the basic requirements for the position.
- Bachelor's degree, Associate’s degree, and/or relevant work experience
- Demonstrated commitment to helping poor and disadvantaged people overcome institutional barriers to legal access.
- Experience with data management systems and use of Google Workspace and Microsoft Suite
- Bilingual (Spanish/English) desired, but not required
COMPENSATION PACKAGE
The beginning salary for an Administrator I with no experience is $30,940 and the salary for an Administrator I with thirty years of experience is $59,140. Salary will be based on experience. LawNY is a qualifying employer for the Public Service Loan Forgiveness program (PSLF).

RESPONSIBILITIES These are the most significant responsibilities and primary functions of the position.
- Develop future plans and projects to expand and support the work being done in the service area
- Assist with grants management and reporting (utilizing case management system to extract and communicate data to funders, as well as some narrative reporting)
- Onboard and organize training for new staff members/AmeriCorps members/Interns;
- Ensure coverage for and assist with various intake and reception tasks;
- Examine and make office processes more efficient, including using the case management system and drafting/updating written procedures to improve and maximize client services, staff efficiency and resources;
- Maintaining case files with regard to compliance and case closing
- Assist with fiscal responsibilities and compliance with LawNY and standard fiscal procedures such as purchasing, bank/petty cash reconciliation, and inventory controls;
- Assist staff with meeting schedules, travel arrangements and outreach events
- Oversight of building maintenance issues
