We are seeking a detail-oriented and resourceful Benefit Specialist / 401(k) Coordinator to join our Human Resources team. This role is integral in administering employee benefits programs, with a strong focus on 401(k) plan coordination. The successful candidate will ensure seamless management of benefits and retirement programs while providing exceptional support to employees.

Key Responsibilities

Benefit Administration

  • Administer employee benefits programs, including health, dental, vision, life insurance, and other voluntary benefits.
  • Assist employees with benefit enrollments, changes, and troubleshooting inquiries.
  • Maintain and update benefits records in HRIS, ensuring data accuracy and compliance.
  • Collaborate with insurance providers and brokers to resolve claims and coverage issues.
  • Coordinate and oversee annual open enrollment, including communication materials and presentations.

401(k) Plan Coordination

  • Serve as the primary point of contact for the company's 401(k) retirement plan.
  • Manage employee enrollments, deferral changes, and loan requests in accordance with plan rules.
  • Conduct regular audits to ensure compliance with ERISA and other regulatory requirements.
  • Work with the plan administrator and payroll team to process contributions and perform reconciliations.
  • Educate employees on the 401(k) plan, including investment options, employer match, and financial wellness resources.
  • Compliance and Reporting

  • Stay updated on federal, state, and local benefits regulations, including ACA, COBRA, and ERISA.
  • Prepare and submit benefits-related reports, such as Form 5500 filings and nondiscrimination testing.
  • Ensure compliance with all internal policies and external legal requirements.
  • Employee Support

  • Provide excellent customer service to employees by addressing benefits questions and concerns promptly.
  • Conduct benefits orientation for new hires and ongoing informational sessions as needed.
  • Develop and distribute employee communications regarding benefit programs, updates, and deadlines.
  • Additional Duties

  • Support HR initiatives, such as wellness programs and employee recognition events.
  • Participate in the evaluation and enhancement of current benefit offerings to maintain competitiveness.
  • Qualifications

  • Education : Bachelors degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • Experience :
  • 5 years in employee benefits administration, with direct 401(k) plan experience required.
  • Experience working with HRIS and benefits management systems.
  • Knowledge :

  • Familiarity with federal and state laws governing employee benefits and retirement plans.
  • Strong understanding of 401(k) compliance requirements.
  • Skills :

  • Excellent organizational and analytical skills with a keen eye for detail.
  • Exceptional communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite, particularly Excel.
