What are the responsibilities and job description for the Office Manager position at Legendary Legacies Inc.?
Position Title: Office Manager
Reports to: Director of Operations
Position Status: Fulltime, Non-Exempt
Schedule: Tuesday-Friday, 9-5pm with flexibility to work some nights and weekends.
Who We Are
At Legendary Legacies, we’re more than just a nonprofit—we’re a movement, a community, and a support system for young men working to build a better future. Our office is the heart of our organization, where things come together to keep our programs running and our team supported. That’s where you come in.
We’re looking for someone who can keep us organized, create a welcoming space, and help our team stay focused on what matters most—serving our community. If you’re the kind of person who loves making things run smoothly, has an eye for detail, and enjoys working with people, we’d love to meet you.
Who We’re Looking For
We need an organized, friendly, and resourceful problem-solver to manage our front office and support our team. If you:
Love working with people—You’re welcoming, approachable, and great at making people feel comfortable.
Are super organized—You enjoy keeping things in order, managing schedules, and making sure nothing falls through the cracks.
Are a natural problem-solver—You take initiative, figure things out, and help keep the team running smoothly.
Pay attention to details—Whether it’s entering data, tracking expenses, or handling phone calls, you make sure things are done right.
Can handle a little bit of everything—You’re comfortable juggling multiple tasks, from answering calls to managing office supplies to supporting financial processes.
You don’t need to have nonprofit experience—we’re looking for someone with the right mindset, skills, and willingness to learn!
What You’ll Do
As Office Manager, you’ll be the go-to person for keeping our operations smooth and our office running efficiently. Your day-to-day will include:
- Answering Phones & Greeting Visitors – Be the first friendly voice people hear when they call or visit. Help direct inquiries and make sure people get the support they need.
- Supporting the Team – Assist staff with administrative tasks, scheduling, and general office needs.
- Managing Program & Office Data – Keep track of important documents, enter data, and maintain organized records.
- Financial Support – Assist with processing invoices, tracking expenses, and working with our Finance Consultant to keep things in order.
- Keeping the Office Running – Order supplies, manage mail, and make sure our space is organized and welcoming.
- Supporting Community Impact – Help make sure our programs and events are set up for success by providing behind-the-scenes administrative support.
This role is at the center of everything, making sure the little (but important!) things get done so our programs can thrive.
What You Need to Bring
- A friendly, welcoming attitude—you enjoy working with people and helping things run smoothly.
- Strong organizational skills—you’re great at keeping track of details and staying on top of tasks.
- Good communication skills—whether it’s answering a phone call, responding to an email, or coordinating with staff, you know how to communicate clearly and professionally.
- Basic computer skills—you can handle emails, data entry, and simple spreadsheets.
- A problem-solving mindset—you take initiative, ask the right questions, and figure things out as you go.
- Ability to work independently and as part of a team—some tasks require focus and self-direction, while others involve collaboration with staff.
Bonus (But Not Required!)
- Experience working in an office or administrative role.
- Familiarity with nonprofit work or community programs.
- Comfort working with budgets, invoices, or basic financial tracking.
- Bilingual skills (English/Spanish) are always a plus!
Why Join Legendary Legacies?
- Make an impact—this role directly supports the work that changes lives.
- Work with a passionate, mission-driven team—you’ll be surrounded by people who believe in what we do.
- Opportunities for growth—we want you to develop as a leader and expand your skills.
- A flexible, supportive work environment—while nonprofit work isn’t always 9-5, we value work-life balance.
