Private practice of three busy physicians requires a Medical office Manager. The responsibility of the Medical Office Manager is to mange and supervise the operational and administrative functions, activities, and projects of the practice in accordance with the organizations policies and state and federal laws. The Office Manager is responsible for carrying out all established policies and oversees the day to day functions of the office. The Medical Office Manager will be responsible for supervision of 2 employees including clerical staff.
Essential Duties & Responsibilities include the following but not limited to be:
Recruiting, hiring, and development of employees to ensure the office operates in an efficient manner and patients receive high quality customer service.
Plan, assign and direct staff with front office and clinic duties. Maintain and process accounts receivable. Process performance evaluation and disciplinary action employees. Address complaints and resolve problems. Updates and maintains physicians licenses and credentials with various insurance companies and medical facilities. Review internal policies and procedures and update as needed
Function as clinic liaison with patients, hospitals, physicians offices and community. Maintain on site medical records administration to ensure that all state and federal regulations governing the release of information are followed.
Must be able to multi-task and work in various areas as need (i.e. Clerical, Clinician). Assist clerical staff in developing and implementing short and long-term goals to achieve business objectives. Schedules office meetings, luncheons, and company parties. Oversees scheduling of tests and treatment plan. Ensures office and clinic supply inventory is current and replenished. Ensures medical coder is entering charges into EMR in a timely manner. Manage and ensure the proper handling of patient files, (Athena), spreadsheets, Central Ma Independent Physician Association (CMIPA) and center for Medicaid and Medicare Service (CMS) requirements.
Oversees human resources including hiring, performance reviews, training complaints and HIPPA compliance and documentation; Prepares new hire paperwork, badges, parking and security. Tracks hours and timesheets to accurate payroll processing; oversees benefits administration and personnel compliance.
May perform other duties such as medical assisting, patient transport or consultation with other doctors/patients/EHR entry, pharmacy or community liaison.
Requirements:
- High School Diploma or GED
- 1-2 years of relevant experience strongly recommended in a medical office setting.
