This position will work closely with all office staff roles to assist with daily projects and tasks as needed. The ideal Administrative Assistant will possess strong skills in ownership, a sense of urgency, great communication skills, accuracy of work, email etiquette, the ability to follow directions, consistency of work and the ability to hit deadlines.

JOB FUNCTIONS/DUTIES:
- Verify and process incoming invoices from vendors and route for approval. Follow up as needed.
- Reconcile all vendor statements and respond to all inquiries.
- Create a weekly check run and pull all supporting documentation. Coordinate check approval and distribution.
- Maintain accurate records of all accounts payable transactions.
- Maintain and track all company credit card receipts. Reconcile receipts to monthly statement and track down missing receipts and resolve discrepancies. Post the credit card statement and coordinate payment with the Accounting Lead.
- Maintain and track COIs, BWCs and W-9s.
- Track safety audits.
- Receptionist tasks (including but not limited to) answering/directing phone calls, greeting/assisting customers/vendors who enter the office, and sending/receiving mail and packages.
- Oversee maintenance of office equipment. Order and re-stock office and warehouse supplies and safety supplies.
- Ownership of office filing systems.
- Work with sales and marketing team on scheduling, special projects and purchasing items.
- Proactively seek opportunities to assist and support others within the organization.
- Assist with office event organization.
- Strong typing skills as well as strong skills in Microsoft Office, especially Word and Excel.
- Friendly and welcoming to co-workers, customers, suppliers and vendors.
- Working knowledge of office equipment, computers, phones, copiers and printers.
- Excellent time management skills and the ability to prioritize daily tasks.
- Attention to detail, problem solving skills and organization are a must.
- Experience in the Construction industry is a plus but not required.
- Current notary or the ability to become a notary in the first 100 days of employment.
- High school degree or equivalent required.
