Primary Responsibilities:
Operational Oversight:
- Oversee key operational services such as Landscaping, Security, Valet Trash Services, Waste Management, and Tiki Bar operations.
- Conduct regular inspections and ensure the effective delivery of services by vendors.
- Supervise daily activities of the Office Administrator, Concierge Team (5 staff), and Maintenance Team.
- Provide oversight for Tiki Bar operations, ensuring service standards and operational efficiency
- Focus on short-term rental property dynamics and manage operational responsibilities to ensure smooth day-to-day functions.
- Handle maintenance, safety, and compliance issues, and work with contractors for repairs and improvements.
- Manage security, amenity access, and parking procedures for short-term rental guests.
- Attend committee meetings, including Design Review Committee (DRC), and assist with scheduling, reviewing applications, and ensuring alignment with HOA guidelines.
- Lead, train, and schedule staff to maintain operational efficiency.
- Enforce SOPs and maintain high standards of customer service.
- Ensure adherence to HOA governing documents, Florida statutes, and rental regulations.
- Manage risk mitigation and violations protocols.
- Be available 24/7 for after-hours emergencies to address operational issues promptly.
- Assist with budget management related to operational services.
- Monitor performance to ensure cost-effectiveness and quality of service.
- Act as the primary liaison between residents, guests, property managers, and vendors.
- Enhance guest experience while ensuring community standards are upheld.
- Provide regular updates to the General Manager on operational issues and performance.
Requirements
Skills and Qualifications:
- Exceptional leadership, organizational, and project management skills.
- Strong communication and interpersonal skills for effective collaboration with residents, guests, board members, and vendors.
- Proficiency with Caliber Software, Microsoft Office Suite, work order systems, and design tools for creating newsletters and flyers.
- Availability to work weekends and after hours as needed.
- Experience in cash management, inventory control, and food and beverage operations.
- Ability to obtain a Notary License and Food Safety Certification.
- Availability for emergency response 24/7.
Experience and Education:
- Active Florida CAM License.
- Minimum 1 year as a Licensed Community Association Manager.
- At least 2 years of experience in operations management within a short-term rental or resort environment.
- Proven ability to manage day-to-day operations effectively.
