General Statement of Duties:
Under general supervision, performs legal secretarial functions for the judge. Includes scheduling, maintaining and coordinating the docket, taking and transcribing legal dictation, screening callers and visitors, scheduling appointments, and other administrative and clerical support activities. This position is also responsible for making entries in files and the JIS system, and preparing and processing documentation related to court appointed legal counsel for individuals determined to be indigent.

Supervision Received: Work is performed under the general supervision of a District Court Judge or designee.

Supervision Exercised: Supervision over those assigned to assist.

Essential Duties and Responsibilities: An employee in this class may be called upon to do any or all of the following: These examples do not include all of the tasks which an employee may be expected to perform.

· Serves as secretary to the judge, preparing and typing legal and confidential material, organizing, coordinating and processing information, maintaining court files and records, scheduling appointments, taking and transcribing legal dictation, preparing and distributing daily dockets, and drafting correspondence, and legal documents for judicial review and signature.

· Compose correspondence in response to a problem or routine inquiry as authorized and directed.

· Provide information and assistance to attorneys, law enforcement personnel, organizations, agencies, officials and the general public regarding court policies and procedures.

· Receive calls and visitors, determining the amount and type of information to provide and whether the judge’s attention to a matter is required.

· Respond to inquiries within the scope of authority and refer others to the proper source.

· Develop and maintain an office filing system, including creating individual files for cases heard by the judge with copies of orders, opinions, trial briefs, exhibits, correspondence and other documentation. Also has primary responsibility for the security of such files.

· Schedule all matters and proceedings coming before the court, considering the number and types of cases that may be processed in a given time period. Ensure that files are present and ready for court action; coordinate scheduling with attorneys, law enforcement authorities, and other participants. Also respond to inquiries regarding the court schedule and other related matters.

· Receive and review requests for adjournment of scheduled cases, evaluate the need and potential impact on the courts schedule, grant or deny adjournment based on established court policy for routine requests, and seek judicial approval in sensitive cases. Notify parties of adjournments or other changes.

· Perform jury related responsibilities such as acting as deputy clerk, and performing various associated functions, including calling role, taking attendance, and receiving the verdict.

· Conduct in-court discovery hearings for civil matters, including swearing witnesses, taking testimony, and polling jurors.

· Assist in courtroom procedures by completing proper documents, marking court files, and maintaining accurate case activity records. Operate computer terminal, entering and updating court actions on all case files.

· Prepare and review all orders entered by the court prior to judicial signature to ensure that all necessary requirements have been met. Forward copies to attorneys represented in the case and make appropriate docket entries.

· Maintain progress records of criminal cases from arraignment to trial, notify the judge of special problems or delays encountered.

· Perform related work as required.


Desirable Education, Experience and/or Qualifications: An employee in this class, upon appointment should have the equivalent of the following training, qualifications and/or experience.

· Graduation from an accredited high school, or GED equivalent with office skills course work, prefer advanced legal secretarial or court management course work.

· One (1) to two (2) years legal secretarial or record processing experience in a court or closely related legal setting.

· Knowledge of state and local court rules, legal policies and procedures.

· Ability to qualify as a notary and type with speed and accuracy as required by the court.

· Computer skills are necessary to effectively utilize word processing, spreadsheet and accounting software systems and the ability to be trained on a specific software program.

· Ability to pass a background check and consent to fingerprinting as required by MCL 15.651-15.654.

Working Conditions and Physical Abilities:

· Work is primarily indoors and requires sitting for extended periods.

· Must be able to lift and carry up to 30 pounds.

· Must be able to hear and speak over the phone and in one-on-one communication needs.

· Must be able to see, hear and speak effectively and without limitations.

· Must be able to stand or sit in one spot for long periods of time, moving arms, hands, back and entire body.

· Must be able to reach, bend or squat to access files.

· Must be able to see and notice the needs of others.

· Must be able to understand and follow oral and written instructions.
