Job Description:
- We seek a highly organized and detail-oriented individual to serve as our Branch Office Administrator (BOA). This role is critical in maintaining our operational efficiency, ensuring regulatory compliance, and enhancing client service.
Responsibilities:
- Oversight of day-to-day office operations, including scheduling, correspondence, and record-keeping.
- Ensure adherence to SEC, FINRA, and state regulatory requirements.
- Collaborate with advisors to streamline administrative and operational tasks.
- Assist with account setup, transfers, and ongoing maintenance using custodial platforms (Schwab, Fidelity, TD Ameritrade, Pershing, etc.).
- Maintain accurate client records and interactions within CRM systems (Redtail, Salesforce).
- Deliver exceptional client service, serving as a primary point of contact for inquiries and support.
- Evaluate all client documentation, disclosures, and regulatory records to ensure they meet RIA industry standards.
- Participate in audits, compliance reporting, and document verification.
- Coordinate client communications, newsletters, and event planning to support business development.
- Enhance brand awareness and engagement as we expand our client base.
- Process billing, account funding requests, and distributions in coordination with custodians.
- Generate financial reports and track invoices for timely processing.
Requirements:
- Background in financial services, wealth management, or investment advisory firms preferred.
- Familiarity with RIA operations, financial regulations, and compliance requirements.
- Proficiency in custodial platforms (Schwab, Fidelity, TD Ameritrade, Pershing) and CRM software.
- Excellent organizational, communication, and problem-solving skills.
- Able to handle confidential information with discretion and professionalism.
- FINRA Series 7/66 certification required.
