Job Description :

We are seeking a detail-oriented and organized Customer Service Representative to ensure the smooth day-to-day operations of our office. The ideal candidate will play a pivotal role in supporting our team by managing administrative tasks, maintaining office efficiency, and providing exceptional service to internal and external customers. Additionally, this role will involve building and maintaining strong client relationships to foster long-term partnerships and ensure customer satisfaction. The successful candidate will be proactive, communicative, and dedicated to addressing client needs and resolving any issues promptly.

Key Responsibilities

  • Manage daily office operations, including scheduling, correspondence, and communications.
  • Maintain and update company records and databases, ensuring accuracy and consistency.
  • Assist in the preparation of reports, presentations, and meeting materials.
  • Act as a point of contact for internal and external customers, providing support and directing inquiries as needed.
  • Ensure compliance with company policies and procedures in all administrative activities.
  • Assist with special projects and initiatives as assigned by leadership.

Advanced Responsibilities :

  • Develop, nurture, and maintain strong relationships with contractors, ensuring effective communication and fostering long-term partnerships.
  • Act as the primary liaison between contractors and the company, managing their inquiries, requests, and concerns with professionalism and care.
  • Monitor contractor performance and satisfaction, providing feedback and resolving any issues promptly to ensure a positive working relationship.
  • Coordinate and collaborate with contractors on project timelines, ensuring that all commitments are met according to agreed standards.
  • Provide continuous support to contractors, proactively identifying and addressing any challenges they may face to ensure smooth and efficient operations.
  • Maintain detailed records of contractor interactions and agreements, ensuring all relevant information is up-to-date and easily accessible.
  • Job Requirements

  • Proven experience in an administrative or office management role.
  • Strong organizational and time-management skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office tools.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
