After decades of hard work in contracting and program management, she realized she wanted to form a company that genuinely cared for its customers and employees. JOB TITLE : GENERAL CLERK II
JOB PURPOSE :
This position requires familiarity with the terminology of the office unit. The General Clerk selects appropriate methods from various procedures or adapts and interprets a limited number of substantive guides and manuals. The clerical steps vary in type or sequence, depending on the task.
Recognized problems are referred to others.
JOB DUTIES AND RESPONSIBILITIES :
Maintain a list of all Consolidated Took Kit (CTK) Custodians with appointment letters.Provide relative data regarding CTKs to the Site Logistic Manager (SLM)Establish and maintain site Spare Tool ProgramAssist the SLM in establishing site-wide Logistic Support Stock (LSS) and Component Stock Program. Conduct Training on such programs, assist users with creative solutions to Stock issues.Conduct Annual LSS site-wide observations / evaluations and report findings to Quality Assurance and SLMManage a branch centrally located LSS program that should hold supplies (i.e. Organizational bins, label makers, etc.) to assist the site LSS program.Assist the SLM in executing solutions to any issues falling under the Logistic Management and 21 series regulations.Maintain population data for assets that fall in Logistic Management and 21 Logistic series Air Force regulation purview.Be familiar with self-inspection checklists (MICT) in the PWS task area and inform SLM. When not in compliance, advise on remediation activities.Conduct ESD surveysDigitize hard-copy technical orders (TO) and Commercial-Off-The-Shelf (COTS) manuals to electronic format and publish the items to the TechnicalDistribution System (TDS).Process, update, and validate all TO Account information / requests and relay all accounts-related information to Centralized TODOReview, update, and validate TO and Equipment Operation Manuals to the latest Distribute updates.Brief TODO newcomers training during the monthly newcomers training courseMaintain Logistics Branch (RQIL) briefings, training material, and internal / external appointment letters.Train account users and managers on proper handling, distribution, marking, and ordering of documents, use of the TDS and ETIMS, and the management of their accountValidate accessibility and access to various QA software programsMaintain the Branch SharePoint page.Coordinate with SharePoint administrators to manage access.Coordinate with functional managers, periodically review reference and training materials for the most current information, and archive outdated files whenEnsure files are organized systematicallyCoordinate with all participants of the Newcomers' Orientation to gather the necessary information and distribute the newcomer's logistics package. Maintain the newcomer's logistics package / materials and give new personnel appropriate access to logistic-based databases.Provide computer support for briefings to include developing and printing presentations and operating computers to project computer-based briefingsOriginate, coordinate, prepare responses to, and distribute correspondence and reports requiring Government signature.Provide administrative support for office activities, including responding to business-related inquiries, directing appropriate staff support functions, or coordinating to ensure efficient customer responses.Correspond with all participants (e.g., TMDE coordinator, PMI manager, CTK custodians) and schedule monthly Logistic Data meetings. Collect slides from all parties and configure master slides. Archive all past meetings in an organized and accessible manner.Coordinate periodic document reviews within the Branch per appropriate guidance (i.e., SOPs, OIs, Training, information pamphlets, etc.). Maintain digital space for such coordination and reviews.Serve as the Branch in-processing and out-processing POC. Ensure all functional managers know when site personnel have out-processed to ensure logistics program continuity. Review appointment letters and POC documents and flag documents for updates as necessary.Maintain documents and coordinate reviews as necessary. Direct customers' questions regarding TMDE calibration instructions to the CWI program and instruct personnel on the process.Maintain the FOD control survey file within SharePointManage AF Employee-vehicle Certification and Reporting System (ECARS) database.Ensure registration in the Air Program Information Management System (APIMS) database of all personally owned vehicles operated on the site. Execute monthly reports to ensure compliance; forward findings / non-compliant personnel to COR for further actionsEnsure all site personnel are current on the Environmental Management System (EMS)trainingCoordinate with the training manager and COR to ensure that mandatory EMS training has been completed and documented for site personnel.Serve as the focal point for inputting monthly air permitting data into APIMS. Canvas existing entities with air permits collect monthly usage data and input data into APIMSThe Clerk shall be the processing point for all transactions to ensure that the documents are valid, correct errors, and add omitted data as the document passes from one unit to another.responsible for the final quality and validation of documents. After reviewing all documents supporting the request, the Contractor shall mark or stamp the documents with Quality Control (QC). The Contractor shall ensure all documentation is filed in the appropriate system and inspection-ready.Ensure all documentation and processes comply with SOP and all appropriate regulationsProvided unit records professional services and managed inventory of records (file plans) IAW AFI 33-322, Records Management and Information Governance Program and AFI 33-322_AFRLSUP.Must verify data on the APSR Asset Inventory accurately represents vehicle information and quantities.provide vehicle odometer / hour meter reading updates at least monthlyCoordinate with main base LRS to process new vehicle authorization requests, including requests for trailers or other non-conventional passenger vehicles. Requirements must comply with the Air Force Vehicle Fleet Growth PolicyConduct and document inspections to ensure assigned vehicles are serviceable and cleanProvide vehicle operators with instructions to follow when accidents occur, including agencies to phone.Must ensure Vehicle Management approves all unit vehicle-rental / leasing actions priorto renting / leasing.Will brief all vehicle operators on the installation vehicle idling policy.Must attend Edwards AFB VCO Training and annual VCO meetingWill advise the SLM on all matters regarding the Vehicle programREQUIRED QUALIFICATIONS :
Must have certifications / licenses as well as the capability to work with the following operations and systems :
Operation of vehicles to transport equipment / materialComputer and Administrative skills :Understand filing systems, electronic filing, creating / utilizing Word documents and Excel spreadsheets,
sending / receiving / reading / replying to email and instant messages,phone etiquette and taking / delivering phone messages.Government Records Management processes.Training is required for personnel identified by the Contractor as a Unit Records Professional.
General warehouse operations and safe execution of those processes. Consistent with DoD Manual 4140.70, DoD Supply Chain Material Management Procedures for Storage Handling.EDUCATION :
