Job Description:
POSITION SUMMARY:
Answer internal and external phone calls, take messages, transfer calls and provide information. Manage email correspondence. Greet and direct employees and guests. Complete security procedures (issue badges, maintain security logs). Knowledge of and adherence to company policies. Help Office Services with projects as needed. Cover Full Time Receptionist's PTO days.
PRIMARY RESPONSIBILITIES:
80% - Answer and manage phone calls (multi-line switchboard). Includes directing calls to the appropriate personnel and providing basic information. Greet and check in visitors or vendors.
20% - Light clerical work, including word processing and assisting Office Services when needed.
MINIMUM REQUIREMENTS:
Educational/Experience Requirements:
High School Diploma, GED, or equivalent
Required Technical Skills/Knowledge:
Proficiency in using computer software (Google Suite), typing, excellent spelling and grammar, and attention to detail.
General Knowledge and Abilities:
Excellent communication skills (oral and written), interpersonal skills, ability to answer and direct phone calls with professionalism, speed, accuracy and have high level of customer service. Able to handle disgruntled customers/visitors. Ability to multitask and prioritize. Must be highly dependable and able to work under pressure. Experience handling sensitive information and maintaining confidentiality.
Physical Requirements:
Constant use of keyboard and phone. Must be able to stand for a short time, lift and work quickly when helping with Office Services.
