The ideal candidate will be responsible for timely and accurate preparation of financial accounting data in a variety of areas. It is essential that this candidate brings analytical and organizational skills in order to best support our high-volume accounting team.
This is a hybrid position as we require our team to go into our Mesa, AZ office 1x a week.
Job Summary:
Audio video installation contracting company seeks Staff Accountant. This position has diverse responsibilities and will be assisting accounting staff with day-to-day requests including large amounts of data entry. This person must be a self-starter and able to work on their own. The Staff Accountant reports to the Accounting Supervisor.
Accountabilities:
Billing Support:
· Enter new projects in NetSuite software system
· Manage project board
· Enter sales orders in NetSuite
· Create Customer Invoices
· Process Internal Change Orders
· Coordinate with other departments to retrieve missing data
· Assist with General Contractor billing packages (i.e. collecting lien waivers)
· Onboard new customers
AR Collections
· Reviewing accounts receivable report weekly and addressing any outstanding issues/credits/overpayments or short pays and working through any issues
· Actively reach out to customers who are past due on their account and escalate as needed.
· Reminder emails to be sent to customers prior to due date.
· Follow up with delinquent customers on a weekly basis at minimum.
· Attend any customer meetings regarding Accounts Receivable.
Sales Tax Processing
· Prepare and file monthly and quarterly sales tax returns
· Assistance with SureTax system as it relates to rates and research
· Assist with Customer requests related to Sales Tax
· Assist with requests for sales tax rates calculations for quoting purposes.
· Monitor sales tax rate changes in predominant cities to our operations.
· Coordinate and audit resale/exempt tax certificates on file
· Business License Administration
Subcontractor Administration:
· Set up new Subcontractors and collect appropriate documentation.
· Process subcontractor purchase order requests, verify against quoted amounts, and create purchase orders.
· Manage payments to subcontractors (aligning with payment terms)
Other Tasks:
· Distribute mail (in office task) – when requested.
· Job Costing Templates
· Help with special projects requested by Team Members.
Qualifications:
· Must be able to complete large data entry jobs
· Flexibility and adaptability
· High level Excel skills
· Proficient in Microsoft Word, Outlook, and other Microsoft Office products
· High attention to detail
· Must be able to work in a fast-paced environment with accuracy
· Great communication skills
Experience Requirements:
· 2 years accounting experience
· Must have extensive Microsoft Excel experience and know advanced formulas
Education Requirements:
· Bachelor’s degree required or equivalent experience
· Certification is a plus
