Requirements:As Traffic Coordinator, you will play a critical role in the agency's day-to-day operations, supporting the Resourcing Team to ensure tasks are assigned, deadlines are met, and projects progress without bottlenecks. Working closely with the Program Manager, you’ll assist in scheduling, resource allocation, and tracking tasks while gaining hands-on experience in agency operations. Key responsibilities include:
1. Workflow Management:
- Ensure tasks are properly assigned and progress smoothly between departments (creative, digital, media, etc.).
- Monitor schedules to flag and escalate potential delays.
- Update project tracking tools and maintain real-time visibility into project statuses.
2. Resource Coordination:
- Assist in managing staff workloads, identifying potential overallocations, and coordinating with department leads to resolve conflicts.
- Help track and allocate freelancers or outsourced resources as needed.
- Assist with print production processes, including uploading vendor quotes, ensure accurate specifications and timelines are communicated to vendors, and issuing purchase orders to vendors, ensuring timely delivery and quality standards.
3. Communication:
- Serve as a central point of contact for project assignments, ensuring team members understand priorities and deadlines.
- Communicate changes or updates to schedules effectively to all stakeholders.
4. Scheduling and Reporting:
- Work with the Program Manager to develop and update production schedules and timelines.
- Generate and distribute regular workflow status reports to the Chief Growth Officer and department heads.
5. System Maintenance:
- Ensure all project and resource data is accurately updated in Workamajig or other project management tools.
- Help maintain and improve Resourcing Team processes and workflows, including SOPs and training materials.
Key Qualifications
- Bachelor’s degree in marketing, advertising, communications, or a related field preferred but not required.
1–2 years of relevant experience in traffic management, project coordination, or operations within an advertising or marketing setting.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Proficient in project management tools (Workamajig is ideal).
