PERSONAL ASSISTANT
PURPOSE:
We are seeking a highly organized and proactive personal Assistant to support our CEO with a variety of administrative and personal tasks. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires discretion, flexible hours (including some weekends, and evenings) and the ability to work independently.
The selected person will report directly to the Managing Owner/CEO.
KEY RESPONSIBILITIES
- Manage calendars, schedule meeting and arrange appointments
- Handle correspondence, emails, and phone calls
- Organize personal tasks and manage household responsibilities
- Run errands, such as dry cleaning, school pick-ups and other personal tasks
- Coordinate travel arrangements, including booking flights, hotels and transportation
- Plan and organize events both professional and personal
- Manage guest lists, send invitations, and coordinate RSVPs
- Handle basic bookkeeping tasks and expense tracking
- Process invoices, payments, and reimbursements
- Conduct research and compile information as needed
- Handle special projects and assignments
- Provide support to CEO as required
- Traveling Companion both domestic and international
- Ability to work under pressure to meet deadline
REQUIRED SKILLS:
- Office Suite Proficiency: Word, Excel, Outlook and PowerPoint
- Google software, such as Google calendar, Google meet, Docs etc
- Understanding of major social media platforms (e.g., LinkedIn, Indeed)
- Ability to quickly learn and adapt to new technologies and software
- Basic troubleshooting for common computer issues (e.g., connectivity problems, software errors)
- Installing and updating software and applications
