Responsibilities
- Assist in the opening and setup of new state & local tax accounts. Maintenance on those accounts and closures of such accounts.
- Responsible for researching, organizing, and tracking notices from tax authorities and following thru to resolution.
- Assist with producing Federal, State and Local tax payments in a timely manner, avoiding penalty assessments..
- Assists with annual communication to employees who file exempt status on Form W4.
- Assists with audits and reconciliations to to resolve and ultimately avoid tax discrepancies.
- Assists with auditing and maintenance of UI rates, tracking and validating available state credits and refunds.
- Produces and validates documents and reports necessary to fulfil state and local audit requests as well as subpoenas
- Assist with mandatory Multiple Worksite Reporting and Industry Verification Forms.
- Provide customer service to employees with paycheck/tax questions and follow thru to resolution.
- ADP IPay system administrator duties, employee password resets, and correction of SSN errors.
- Update and maintenance of LHC Pay Card system.
- Responsible for tracking and resolving all uncashed payroll checks prior to their stale date.
- Assists with the timely distribution of year-end forms (W2’s) to employees in compliance with all with Federal, State and Local regulations
- Serve as a backup to the Payroll Tax Coordinator during absences.Including the transmission of off-cycle and bonus cycle tax files to ADP.
- Assist in the review and audit of HRIS data fields that affect tax withholding to ensure data integrity and proper withholding.
- Assists in the documentation of department procedure manuals.
- Work with Payroll Tax Coordinator and internal system support personnel in testing payroll system changes and upgrades.
- Assists with the review and creation of system reports used for inter-departmental and external reporting.
- Special projects as required.
Education and Experience
- Three years of payroll experience directly related to the duties outlined.
- Experience in ADP Smart Compliance and Oracle HR/Payroll systems preferred.
- Must be proficient in the use and understanding of bookkeeping and payroll practices
- Must be proficient with Microsoft Office with above average Excel skills.
- Must possess strong organizational, time management and written/oral communication skills.
- Attention to detail is a must.
- Experience in writing and updating department procedural documentation.
