Job Overview
This is a small startup company. We are seeking an assistant that will be tasked with multiple duties. The ideal candidate will possess exceptional clerical skills, strong computer literacy, and the ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can handle confidential information with discretion while providing comprehensive administrative support.
Duties
- Schedule products to be shipped out, create and attach Bill of Ladings, obtain quotes from freight companies/brokers, and manage parcel shipments.
- Scan all paper receipts to create digital backups, compile the receipts and expenses into excel to forward to the accountant. Filing and organizing paper receipts and documents for long term storage.
- Answer phone calls and redirect incoming calls to the appropriate personnel.
- Handle disbursements of invoices.
- Manage employee records, including insurance documents, payroll, etc.
- Prepare and organize documents for meetings, including agendas, presentations, and reports.
- Perform data entry tasks accurately and maintain organized records of correspondence and documentation.
- Serve as the first point of contact for internal and external communications, demonstrating excellent phone etiquette.
- Take daily pictures and videos of work, product in production, and similar such to forward to the marketing dept.
- Keep track of social media pages and ensure that customer questions are answered.
- Support project coordination efforts by tracking deadlines, deliverables, and progress on various initiatives.
Requirements
- Proven experience as an executive assistant or in other administrative roles.
- Strong clerical skills with a keen attention to detail.
- Proficient in office software applications (e.g., Microsoft Office Suite).
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Experience in event planning is preferred but not mandatory.
- Ability to handle sensitive information with confidentiality.
- Demonstrated capability in project coordination is a plus.
- A professional demeanor with strong interpersonal skills.
