The Operations Coordinator will be key in space review and redesign, IT planning, community needs assessment and developing the library’s newest strategic plan.
The primary responsibilities include maintaining the orderly operations of library functions across all service aspects, especially in supervising and scheduling employees and ensuring they are adequately trained and effective in their roles. The operations Coordinator serves as a local expert with the ILS, LibraryIQ, and other library database / reporting software, and will assign and oversee tasks to appropriate staff related to collection management, circulation services, and will provide all levels of administrative support to the library director.
This position is part of the library management team and reports to the library director.

Responsibilities
An individual must be able to perform each essential duty and responsibility satisfactorily.
- Supervise assigned staff, which includes managing, performance, evaluation, interviewing/hiring, training and approving timesheets
- Create staff and desk schedules that are responsive to library needs
- Direct and re-direct assigned staff to ensure high-level customer service
- Assist the Director in the development of budgets
- Attend library board meetings, take minutes, and submit them in draft to the Director for review
- Attend City departmental meeting with the director, take notes, and note action items
- Maintain library account receivables and expenses; this includes payment of invoices, credit card coding, check requests, money handling, and collection acquisitions
- Oversee collection maintenance and materials processing, to include weeding, processing new and donated materials, and evaluating the collection
- Assist and provide administrative services such as attending meetings, coordinating training, establishing and updating SOPs, and assisting the Library Director with procedure and policy review and evaluation
- Oversee data compilation and reporting, including the Annual State and LS&S reports, monthly and quarterly reports, and project-specific reporting
- Interface with customers, both internal and external, with a high degree of professionalism
- Work closely with Librarians and library management to plan, implement, and promote library activities & services
- Demonstrate effective listening and problem-solving skills, excellent planning and organizational skills
- Ability to embrace change, along with the ability to strategize
- Follow all legal and policy requirements for patron privacy and custodianship of patron records.

An individual should possess the listed knowledge, skills, and abilities and have the required education, training, and/or work experience:
- Experience managing office environments and resources, including people, budgets, supplies, data, and reporting
- 1-year supervisory experience preferred
- A high degree of proficiency in MS Office suite, including Excel, Word and PowerPoint
- Excellent communication skills, both written and verbal
- Organized, possess strong writing skills, and have the ability to multitask
- Ability to prioritize and communicate priorities effectively
- Ability to work well independently and as part of a team
- Excellent customer service skills
- Demonstrate flexibility, a willingness to learn, and positivity
- Must be able to move from place to place within the location; lift, push/pull, hold/carry items weighing up to 25 pounds and occasionally up to 35 pounds such as files, books, stacks of paper, and other materials.
- Ability to sit for lengthy periods of time and to maintain focus on projects such as computer screens or detailed paperwork.
