Job Description
Licentiam, Inc. is seeking a professional, reliable, detail-oriented, and highly organized individual to serve as an Administrative Assistant. This person will work under the supervision of the Team Leader, assisting the Licensing Team as needed. The Administrative Assistant will provide essential administrative support to ensure the efficient operation of our office. Join us today!
Primary Responsibilities Include, but are not limited to:
- Work under the supervision of the Team Leader to manage and organize office documents, including filing, scanning, and data entry.
- Review applications, transcripts, and other required confidential documents for completeness and accuracy.
- Assist with client onboarding, including entering confidential client data into the Licentiam Vault (Licensing Information System).
- Interface with existing licensees to process all change notifications (e.g., name changes, deaths, address changes, and additional licensing needs).
- Assist in organizing packages to be sent to clients and health regulatory boards.
- Prepare and organize shipping materials, including creating shipping labels.
- Take packages to USPS and UPS for mailing, and track outgoing and incoming mail.
- Train on and assist with the process of printing FBI cards for clients as part of the credentialing and licensing process.
- Maintain all existing and new licensee/applicant-related files in accordance with company policies and procedures.
Qualifications:
- Proficient computer skills including word processing, spreadsheet, and database applications (specifically Microsoft Word, Excel, PowerPoint, Gmail, Google Drive, and Adobe Acrobat).
- High school diploma or equivalent required; associate’s degree or relevant certification is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Superior administrative and organizational skills.
- Excellent written and verbal communication skills.
- Flexible, team player; willing to work on numerous tasks as needed.
- Ability to operate printers, copiers, and fax machines to file, photocopy, and scan documentation.

Pay: $22.30 - $25.00 per hour
