Chiropractic Lead/New Patient Intake Coordinator

Position Details:
- Pay Range: $25.00 - $28.00 Hourly
- Full-Time, Non-Exempt
- 40 hours per week
- Fully Onsite Position in Hayward, CA
Essential Job Responsibilities:
- Ensure that the campus community receives outstanding service by providing a friendly environment which includes greeting and acknowledging every patient and intern, maintaining high standards of professionalism, owning solid knowledge of chiropractic and all other components of Life Chiropractic College West
- Verify completion of all patient documentation associated with new patient intake and registration according to policy
- Collect, manage, and file all new patient materials and documentation, in paper-based and/or digital systems
- Verify insurance coverage with patients and other insurance agencies
- Receive and accurately process all new patient forms in person and online
- Perform fast and accurate data entry; input all patient/intern information into the system
- Effectively communicate new patient paperwork, including fee schedules to new patients. (i.e., cash patient, Medicare, Personal Injury, and Workers Compensation)
- Provide timely responses to all questions and concerns in person, over the phone, and/or via e-mail
- Abide by HIPAA laws regarding patient information
- Manage/schedule new/recurring appointments.
- Coordinate quarterly new student patient intake process (i.e., assist with pairing interns with new students, process new student patient paperwork, create paper-based and/or digital patient files for new students)
- Maintain confidentiality regarding patient and student information as required
- Assist Chiropractic Assistants as needed
- Assist the Customer Service Manager with day-to-day operations and serve as a backup in their absence for knowledge and use of Health Center’s Electronic Health Record (EHR)
- Complete and reconcile deposits and stats daily
- Order, stock, and maintain adequate inventories of chiropractic and office supplies
- Help ensure that patients, interns, students, and employees are treated in a fair and equitable manner
- Assist with staff development through coaching, mentoring, rewarding, training, and guiding
- Support continuous improvement of workflow processes and procedures
- Other office and managerial duties as required
Qualifications:
- Minimum High School Diploma or equivalent. Bachelor’s degree preferred.
- 1 years of experience in chiropractic or medical office.
- Familiar with HIPAA and FERPA regulations
- Demonstrated knowledge of and proficiency in the principles, procedures, and best practices related to this position
- Proficient knowledge of general office equipment such as phones, computers, and Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to work with confidential material and maintain confidentiality along with sensitivity;
- Strong verbal and written communication skills
- Ability to learn medical and insurance billing software
- Ability to work in a fast-paced environment with established time constraints and difficult situations;
- Ability to be flexible and adaptable to changing priorities and deadlines
- Ability to provide outstanding customer service and relationship building skills to the campus community
