The Business Office Coordinator is responsible for managing and leading the location Business Office Operations to ensure an exceptional customer service experience. The position requires knowledge of healthcare systems operations. Ultimately, to ensure an effective workflow that will allow the clinicians to provide excellent patient care with minimal administrative work. The Business Office Manager will effectively coordinate and oversee administrative duties, to ensure the location operates efficiently and smoothly.
The candidate is responsible for all front desk functions in the office, such as patient enrollment, insurance verification, obtaining referrals, requesting and receives all intake information for patients entering the data into the EHR and processing health information request.
Business/Administrative Responsibilities
- Insurance Verification(Strong knowledge of Medicaid )
- Answering inbound calls/Making outbound calls. Confirming clinical appointments, prescriptions, records, documents and other items needed for client care.
- Proofreading incoming documents from staff to be scanned and reported when needed
- Completing paperwork, reports and other items needed for day to day operations
- Answering client/team member questions and following up on requests
- Reporting, reconciliations and projects based on operational needs. Support the Executive Management in day-to-day operations, calendar appointments, make team arrangements, and schedule interviews.
- Assist with preparation of reports and correspondence, file folders for all Meetings/ Committee Meetings, takes minutes meetings
- Provide information community programs, and the application process to potential clients, case managers, social workers, and other agencies that call in and, as appropriate
- Maintain the copier: Check the copier paper trays and ensure all paper trays and ink cartridges are loaded as needed.
- Maintain good working relations with other agencies and persons providing services to people with mental and behavioral health diagnosis.
- Responsible for daily incoming/outgoing mail and special agency mailings
- Maintain office for cleanliness and storage of items
- Maintain an inventory of office supplies and order as needed, keep supply storage areas stocked, organized and clean.
- Keep common areas of the office neat and clean, including the conference room, file and supply room for professional presentation to visitors
- Be able to work with agency data systems: Outlook, E.H.R., Dropbox
- Be able to use Microsoft Office Products (Word, Excel)
- Be proficient in computer desktop workstation
- Greet and welcome patients and staff in a friendly and professional manner.
- Patient Registration
- Handle patient inquiries and concerns with empathy and efficiency.
- Schedule appointments, confirm appointments, and manage the clinic’s calendar. Fill cancellations and openings as needed, and reschedule patients based on their individualized needs. Verify patient information and update electronic medical records (EMR) accurately.
- Insurance verifications
- Administrative work as assigned for other departments
- Creation and maintenance of spreadsheets, forms and checklist for personal use
- Document management
- Special projects: short term and on going
- Other duties as assigned
Successful candidates will possess:
- Bachelor’s degree preferred but will consider Associates or other schooling equivalent experience.
- Minimum of 2 years healthcare administrative office experience
- Minimum of 2 year in Medicaid, Medicare and governmental payers
- Professionalism and maturity in speech and demeanor is required
- Highly organized with a dedication to follow through and an ability to proactively anticipate needs
- Demonstrated written and oral communication skills, and excellent interpersonal skills
- Excellent computer and typing skills
- Must be a team player and also capable of working independently
- Must be reliable and punctual, responsive and productive
- Strict confidentiality and discretion. Ability to handle confidential information in compliance with HIPAA regulations.
Job Type: Full-time
Pay: $47,000.00 - $55,000.00 per year
