Summary: The Accounting Clerk plays a vital role in supporting LifePath's finance department by performing a variety of financial and administrative tasks that contribute to the organization’s financial stability. This position is responsible for processing transactions, maintaining financial records, reconciling accounts, and managing client services in LifePath’s client database.
Essential Duties and Responsibilities include, but not limited to the following:
· Accounts Payable Management:
o Review and verify invoices for accuracy, including pricing, quantities, and purchase order details.
o Identify and resolve discrepancies with vendors regarding invoices.
o Code invoices to the appropriate general ledger accounts.
o Enter invoice data into QuickBooks, LifePath’s accounting system.
o Generate weekly vendor reports for payment approval.
o Process and distribute approved vendor payments promptly.
o Process and distribute benefit payments related to bi-weekly payrolls.
o Monitor due dates to ensure on-time payments and avoid late fees.
o Maintain accurate vendor information, including contact details and banking information.
· Recordkeeping and Compliance:
o Maintain detailed accounts payable records and ledgers.
o Ensure adherence to company policies, procedures, and relevant accounting standards.
o Update audit-required tracking forms as needed.
· Bank Reconciliations and Client Services:
o Perform monthly bank reconciliations for two accounts.
o Process client services, such as attendance tracking for the adult day program, in LifePath’s client database (ServTracker).
· Administrative Support:
o Maintain and order office supplies as required.
o Coordinate copier supplies and service maintenance when needed.
o Act as a backup for:
§ Monthly MLTC and CACFP billing.
§ Cash receipts processing and monthly vouchering.
· Other Responsibilities:
o Ensure compliance with accounting regulations and organizational standards.
o Perform additional tasks as requested by the Chief Operating Officer.
