FLSA Classification: Exempt
Location: On-site at 10 Hudson Street, does require travel to satellite properties. This is not a remote position.
Job Summary:
The Development Database/Prospect Research Coordinator is responsible for maintaining, managing and preserving the integrity of the Light House donor database and supporting the Development Team with various tasks and initiatives as needed to advance fundraising and donor relations. Reporting to the Associate Director of Development, they will assist the Development Team by providing database support through constituent data entry and management, acknowledgement and processing of gifts in an accurate and timely manner with a focus on stewardship, donor database maintenance and reporting, prospect management, maintenance of solicitor portfolios and schedules, and operational support. They will also analyze data to help informed decision making with the Development Team.
Tasks and Responsibilities
Tasks and responsibilities are inclusive of, but not limited to:
Gift Acknowledgments & Donor Relationships:
- Daily accurate processing of gifts including in-kind and monetary donations
- Creating timely and accurate donor acknowledgements for all types of donations
- Monitoring of Combined Federal Campaign, Maryland Charity Campaign, United Way and additional workplace giving programs - issuing acknowledgment letters, submitting renewal applications and recording of gifts in database
- Processing of recurring/online gifts
- Pledge/payment management
- Work collaboratively with the Finance team
Reports & Database Maintenance:
- Responsible for overall database maintenance and integrity and the accuracy of data imported and committed in the database
- Routinely examine and clean current data records to ensure data accuracy to eliminate inconsistent data
- Run weekly gift and quarterly in-kind reports, and other reports as needed
- Maintain recurring donor profiles and update as needed
- Support grant/funder report requirements as needed
Prospect Management & Team Support
- Support fundraising efforts by researching prospective donors, grants, analyzing philanthropic trends, and preparing reports for Development team
- Conduct data analysis to assist with donor stewardship and cultivation
- Coordinate list development for biannual appeal outreach
- Conduct client data pulls for grant reporting and list pulls as needed
- Maintain accurate solicitor portfolio’s and monitor yield outcomes
- Manage and monitor the department email account, responding to inquiries, directing messages to appropriate team members
- Maintain and monitor the department’s solicitation and grants calendar, coordinating with team to ensure key deadlines are met
- Manage annual organizational membership renewals and nonprofit filings such as Maryland Certificate of Good Standing, etc.
- Maintain department drive and accurate filings of all grant/donor agreements, metrics, and other reports
- Interact with donors on tours, gift receipt, events, etc. as needed
- Perform other duties as assigned
Required Skills/Abilities:
- Demonstrated ability to work with a high level of accuracy and manage confidential information
- Excellent organizational, time management and interpersonal skills
- Proven ability to work both independently and as part of a team, is self-motivated and proactive
- Proficiency with Microsoft Office applications, particularly Excel and Word
Experience:
- Bachelor’s degree in business or related field or any combination of relevant experience and education that would contribute directly to the position
- Two to three years of CRM database experience or related experience required. Experience with Raiser’s Edge preferred
- Demonstrated project management experience
- Minimum one year working on a fundraising team
Physical Requirements:
Day to day physical needs will change, this position may require prolonged periods of sitting at a desk and working on a computer to lifting up to 15 pounds at times.
