Assistant Clinical Director Job Description
Position: Assistant Clinical Director (ACD)

Reports to: Clinical Director/Senior Clinical Director
Summary: The ACD is responsible for overseeing program/protocol development and maintenance, insurance report completion, staff training/supervision, and conducting parent trainings for each of the learners on their caseload. The ACD will have a clinical caseload maximum of 7 to 9 learners and be responsible for meeting billable goals each week. This may be altered depending on the length of absence of the CD. The purpose of the ACD role is to help and support the Clinical Director (CD) with daily tasks in the center. The ACD will stand in for the CD while they are out on PTO, maternity leave, or other scheduled appointments, so staff have an individual to report to for operational and clinical needs. The ACD will learn and be trained on CD responsibilities over time to develop skills to become a CD in the future. ACD will meet, shadow, and assist the CD weekly to receive training on the general responsibilities listed below.
Qualifications:
- Master’s Degree encompassing behavior analytic content.
- Active Board Certified Behavior Analyst (BCBA) credential.
- Eligible to provide supervision of Registered Behavior Technicians (RBT)
- 2 to 3 years of experience in ABA field, working with a variety of ages.
- Able to communicate expressively and receptively for all responsibilities within the job role.
Clinical Responsibilities: This is a list of the common responsibilities an ACD will perform with the CD or on their own in the absence of the CD. This list is subject to change based on specific center needs.
- Use evidence-based practices for programming and behavior intervention practices.
- Create, monitor, and maintain an adequate amount of individualized treatment plan goals for each learner on caseload.
- Make data-based decisions and conduct error analysis for each learner on caseload and modify learners’ treatment packages to ensure progression and effective treatment.
- Collaborate with Speech-Language Pathologists and Occupational Therapists internally and externally as required.
- Provide ongoing training and supervision to staff, assisting with program and behavior intervention plan implementation as needed.
- Establish and maintain rapport with parent(s)/caregiver(s) for each learner on caseload’s family and communicate professionally regarding center/child-related topics.
- Direct monthly parent/caregiver trainings in the center, home, or community and complete documentation at the conclusion of each training session.
- Prepare for learners on caseload to transition to a less restrictive environment, including parent/caregiver communication in advance, coordination with school/program, collaboration with multidisciplinary teams, and LAC graduation.
- Conduct initial assessments for new learners as needed and complete the corresponding insurance documents.
- Prepare all insurance report documents and assessments in a timely manner, per each learner’s reauthorization requirements, and complete peer-to-peer reviews, if needed, with assistance from the Clinical Director.
- Strategize and communicate with other members of clinical team for overall center management.
- Bill sufficient number of ethical, direct service hours with each learner on caseload - 28 total hours per week.
- Complete and submit daily BCBA logs to document billable hours in a timely manner.
- Coordinate with clinical staff to review daily RBT session notes for accuracy and submit at the end of the day.
- Provide supervision time (at least 5%) with each RBT in pod to ensure credential can be maintained.
- Review and edit Program Manager (PM) authorizations and provide feedback as necessary.
- Schedule reports on the calendar for the clinical team utilizing the authorization dashboard and authorization tickets.
- Check in with Clinical Director every morning to address schedules, concerns, interviews, etc.
- Review and edit PM behavior intervention plans and treatment plan goals.
- Handle disciplinary issues within the building (i.e., write-ups, reviews, terminations, PIPs, etc.)
- Understanding, overseeing, and supporting operations of the Clinical Administrator.
- Oversee interview process and coordination within the center.
- Assist with scheduling decisions; ACD will slot new hires appropriately on the appropriate pod.
- Understand the new hire training expectations and schedule.
- Oversee PM’s caseload and provide additional support and make clinical recommendations.
- Assists PM’s with parent training on handling issues within the home environment, safety, etc.
- Responsible for directly reporting to Regional Director when the CD is absent and there are clinical needs/issues.
- Provide training to PM on verbiage used with parent communication, both written and oral.
- Supervise Junior PM on client caseload, provide training and feedback for program goals.
- Complete 1:1 meetings with PMs, CA, & RBT TC.
- Instruct weekly team meetings with PM team.
- Check in with new hires during their new hire training period.
- Utilize Power BI to track building metrics, including: learner missed hours, weekly BCBA billing hours, overtime, therapy utilizations, RBT turnover, authorization utilization, payor information, credentialing information, etc
- Monitor and record keep weekly PM billable hours and submit monthly incentive bonuses to RD
- Oversee and monitor planned and unplanned client discharges, initial assessments, and client start dates.
- Create and analyze staff surveys regarding PM’s performance, feedback, etc.
- Complete APR’s for RBTs, CAs, and PMs.
