Position Summary: The Sales Support Specialist will work closely with the Sales Consultant to ensure smooth and efficient client communications, lead intake, coordination, and document preparation. This role requires exceptional organizational skills, attention to detail, and a proactive approach to operational support. You’ll be the backbone of our sales operations, helping to create a seamless experience for both clients and our internal team.
Key Responsibilities:
1. Client Communications:
- Serve as the first point of contact for potential clients, responding to inquiries via phone, email, and website submissions.
- Schedule and confirm client meetings, ensuring all necessary materials and agendas are prepared in advance.
- Maintain professional and timely communication with clients throughout the sales process.
2. Lead Intake and Coordination:
- Manage incoming leads by gathering essential information and qualifying potential clients based on company criteria.
- Accurately input lead data into HubSpot CRM and maintain up-to-date records.
- Coordinate follow-ups and track the status of leads to ensure no opportunities are missed.
3. Document Preparation:
- Assist in preparing and formatting project proposals, contracts, and presentations.
- Ensure all documents are accurate, professional, and aligned with company standards.
- Organize and maintain digital and physical files for easy access and reference.
4. Operational Support:
- Collaborate with other departments to ensure alignment on client needs and project timelines.
- Provide administrative support to the sales team, including calendar management and task prioritization.
- Assist with special projects, as needed, to support company objectives.
5. Process Improvement:
- Help develop and write Standard Operating Procedures (SOPs) to improve and systemize our sales process.
- Identify opportunities to streamline workflows and enhance efficiency within the sales team.
6. Project Proposals and Estimates:
- Gather and organize information to assist in creating detailed project proposals.
- Collaborate with the sales and production teams to write scopes of work and develop accurate project estimates.
Qualifications:
- Proven experience in sales support, administrative assistance, or a related role. Experience in the construction or remodeling industry is a plus.
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in using HubSpot CRM and Google Suite (Docs, Sheets, Gmail, etc.).
- Ability to work independently and collaboratively in a fast-paced environment.
- A customer-focused mindset with a commitment to delivering exceptional service.
