Description

Looking for a role where you can flex both your accounting and payroll skills? We're searching for a detail-oriented Accounts Receivable & Payroll Administrator to manage financial transactions, oversee payroll operations, and keep things running smoothly behind the scenes.

The ideal candidate has strong attention to detail, the ability to manage multiple financial responsibilities, and a proactive approach to maintaining accuracy in both accounts receivable and payroll functions.

What You'll Do :

This position reports directly to the CFO.

Accounting & Expense Management :

  • Handle accounts receivable for commission-based sales, ensuring payments align with orders in Oasis ERP.
  • Generate and reconcile invoices in QuickBooks, apply sales tax when needed, and track deposits for Buy / Sell orders.
  • Oversee monthly expense reconciliation, ensuring coding accuracy, receipts are uploaded, and discrepancies are resolved. Manage the expense module in Paylocity, keeping records accurate and compliant.
  • Support finance-related administrative tasks, including bank runs, year-end reporting, and assisting external accountants with tax-relevant data.

Payroll Administration :

  • Process payroll semi-monthly (plus off-cycle as needed) through Paylocity, ensuring accurate wages, deductions, and tax compliance.
  • Audit timekeeping records, PTO, overtime, and leaves of absence, maintaining manager-employee timekeeping assignments.
  • Ensure payroll compliance with federal, state, and local labor laws, generating payroll reports and assisting with W-2 and 1095-C audits. Coordinate tax topics with Accounting, Paylocity Service, and external accountants.
  • Maintain accurate payroll records and handle sensitive information with discretion.

  • Where & How You'll Work :

    In your hybrid role, you can expect a combination of days spent working remotely from home and in the Baltimore office. Our current model is a minimum of 2 days in the office.

    Requirements

    Technically Speaking, You Have :

  • A high school diploma or equivalent (bonus points for business / accounting coursework or certifications!).
  • 2-3 years of experience in accounting, finance, or bookkeeping, with hands-on payroll processing.
  • Strong administrative skills, including organizing information, data entry, generating reports and facilitating internal and external communications.
  • Diamond-level discretion required (handling sensitive and confidential information)
  • Proficiency in Microsoft Office 365 (Excel expertise-formulas, pivot tables, and graphs-are a must!).
  • Technically savvy with accounting and payroll systems.
  • The ability to lift up to 25 pounds (because sometimes finance work isn't just numbers on a screen).
  • Bonus Points If You Have :

  • An associate degree in Business, Accounting, or a related field.
  • Bonus poing for working in manufacturing industry!
  • Working knowledge of SharePoint, QuickBooks, Paylocity, and / or Oasis ERP.
  • Maryland Wage Range Transparence Disclosure

    This regular full-time position is classified as salaried, exempt, meaning the incumbent will not be eligible for overtime. Internally, this role is considered a level 2 individual contributor, aligning with job grade 2.

    IC2-2 Base Salary Range : $45,000 - $75,000 annually (with full-time employment)

    The information below reflects the target range. This is the span of the above range that we realistically anticipate, based on the requirements of this role, paying a new hire entering this position. Should an employment offer be extended, the base salary offered will account for several factors, including but not limited to experience, skills, education, certifications, etc. Depending on an individual's job-relevant qualifications, the target range may be exceeded.

    Target Range : $6;0,000- $75,000 annually
